Vendor Coordinator



2 days ago Requisition ID: 3126 The Vendor Coordinator(VC) position will support a variety of functions as pertaining to on boarding, coordinating and developing global contracted resources to support the field service organization and client requirements/agreements. Specifically, this position will be responsible for daily coordination with a global resource pool for work assignments.
This position will engage partner contractors and independents for coverage as needed and accurately prioritize workflow to ensure client requirements/service level agreements(SLAs) are met. A sense of urgency is needed on escalated or short lead requests. The VC may proactively contact assigned resource(s) before a job to ensure all expectations are clear and on track to be met. Vendor Coordinators will also follow up on all contractor completed work to ensure proper close out for timely client invoicing and approval of vendor payment.
Follow up coaching with contracted resources will occur as needed to improve understanding of expectations and develop supplier relationships.

This role may include responsibility for the essential functions of the Resource Allocation Coordinator position as needed outside normal business hours.

Essential Functions



Monitor and manage vendor work queues for timely and accurate prioritization and assignment of labor tickets. Includes InsidEdge and Field Nation platforms. Schedule labor tickets with Acuative partners & 1099s to ensure on site arrival as requested and in accordance with Resource Allocation process. Follow standard process for assigning work to partners and 1099’s globally. Provide partners & 1099s with all required documentation prior to schedule date of assigned work. Ensure scheduled work is aligned with client requirements and contractual SLAs via reporting and quality review. Intervene on any escalations such as delayed arrival, assignment cancelations etc and take necessary action to mitigate client impact. Follow up and coach providers on missing code-off information and deliverables to ensure timely and accurate close out of completed work. Liaise between internal teams(PMO, Dispatch, RFSMs)and partners/1099s to ensure preparedness for meeting client expectations. Respond to partner and 1099 questions as needed. Work on special projects as assigned by leadership. Review completed work and approve for payment in Field Nation platform. In call queue to field incoming calls from contracted resources.

Non-Essential Functions



Process invoices for payment approval. Preparing contractor transmittal sheets for A/P check runs. Support on boarding efforts for new partners & 1099s. Pull reports for quality analysis and follow up through job completion. Backup team members for scheduling needs and other administrative tasks. Dispatching W2 Acuative technichians outside normal business hours following standard process and outlined Field Service policies.

Required Qualifications



Strong oral and written English communications skills Solid organizational and time management skills Experience with MS Office Strong Internet and PC skills a must with experience using Windows based applications Excellent problem solving and critical analysis skills Detail-oriented & focused while working at a fast and dynamic pace Proven teamwork skills Proven multitasking skills with focus on detail Experience working with external vendors Minimum high school diploma required and some prior work experience in a related field

Additional Qualifications Desired



Education or training beyond high school Scheduling/Dispatching experience – domestic and international Experience with online technical sourcing platforms Knowledge of Cisco Finesse phone system and queues Logistics background Customer service experience Background in Telecom industry

Work Environment/Physical Demands



Desk work the entirety of the day Heavy use of PC with strong focus to monitor work queues* Availability to work outside of normal shift as required and work overtime/holidays as necessary.
