Job Description

As part of its social responsibility and active participation in training and development, Jordan Bromine Company LLC is pleased to announce the availability of a six-month internship opportunity (renewable, not leading to employment) for a recent graduate in the position of Records Officer.

The role of the Logistics Documentation Officer involves organizing and managing records and documents within the logistics department. This role encompasses various tasks and responsibilities aimed at ensuring the integrity and confidentiality of information, while also ensuring it is accessible when needed.

- Responsible for organizing and managing documents related to logistics operations, including shipment papers, bills of lading, invoices, contracts, financial documents, and the complete shipment file. This includes both inbound and outbound shipments. The role involves creating and maintaining a system for classifying and organizing documents appropriately to ensure quick access to them.

Ensure that all necessary documents for logistics operations are present and up-to-date in accordance with the institution's internal policies and procedures. This includes reviewing incoming and outgoing documents, verifying their accuracy, and ensuring they are complete.

- Monitor the registration of both printed and/or digital copies of documents, ensuring their availability, protection, and integrity. This includes assigning permissions and controlling staff access to the documents.

- Record and document all incoming and outgoing documents in the logistics department, including contracts, agreements, reports, and correspondence. Ensure that all documents are properly archived and available for review and retrieval when needed.

- Regularly update records and document lists.

- Implement operations using the company's approved systems.

- Execute document management and archiving policies and procedures effectively and correctly.

- Safeguard data and identify risks related to accidental or intentional data loss, disclosure, or alteration, which could result in significant financial loss, information loss, and legal consequences.

- Comply with logistics policies and information security procedures related to logistics operations, in accordance with company requirements.

- Report any violations or breaches of company policies and laws related to agreements and contracts with suppliers.

- Report supplier dissatisfaction, complaints, or any concerns to the relevant department for follow-up.

- Communicating with internal logistics departments to gather, archive, and retain documents.

- Participate in safety inspections.

- Participate in hazard analysis and practical job evaluation sessions (PHA).

- Perform all duties in accordance with approved health and safety regulations and comply with public health and safety procedures and standards.

- Report any condition or suspicious behavior that poses a risk to public safety.
