The logistics team is one of the main support teams in Acted that provides the support for program to ensure implementing successful projects. They are responsible for the supply chain management (including Procurement, Delivery management, Stock management) as well as Support the supply chain operations (including Premises management, transportation management, assets management, IT management).
The Logistics Volunteer will be allocated in Amman with regular field and base visits to provide the required logistics support for successful projects implementation.

The logistics volunteer has the responsibility to adhere to the PSEAH Policy (Protection against Sexual Exploitation, Abuse and Harassment). The logistics volunteer has the obligation to complete all mandatory trainings related to the Code of Conduct and the PSEA policy and report any safeguarding concern such as breaches of organisational policies or codes of conduct according to ACTED’s procedures. The logistics volunteer carries out work duties in a way that does not harm children, vulnerable adults or other staff or volunteers.
Job Purpose
The Logistics Volunteer is managed by the logistics officer.
He/she (hereafter referred to as he) is responsible for the Support the supply chain operations (including Premises management, Transportation management, assets management, IT management) as well as the supply chain management (including procurement, delivery management, stock management), in line with ACTED Logistics guidelines.
Duties and Responsibilities
- Support the identification & contracting of premises (Offices, Guesthouses & warehouses) based on geographical, operational, security and financial criteria in close liaison with the logistics officer
- Support the upgrade of premises and ensure proper working & living conditions for all staff in each premises by providing appropriate power supply, drinking water, stationery, etc. The officer should support preventive & corrective maintenance or works of premises.
- contribute to maintain a monthly physical inventory of other goods (in addition to the monthly asset follow-up on another hand), such as other property reports.
- support the efficient & exhaustive circulation, filing & archiving of premises documentation (lease agreements, security assessments, etc.)
- To receive, tag and register all new assets across the mission
- Support assets review, and physical inventories count.
- Support the efficient & exhaustive circulation, filing & archiving of asset documentation as detailed in ACTED logistics manual (registration cards, etc.).
- Support fleet reviews, and fleet prospects under the officer supervision (market surveys, fleet analysis, etc.)
- Support the efficient & exhaustive circulation, filing & archiving of fleet & transportation documentation as detailed in ACTED logistics manual (logbooks, maintenance sheets, administrative authorizations, insurance cards, etc.).
- Support communication & IT needs & communication means allocations, purchase or rental accordingly based on program & transversal needs in country.
- Support to ensure that Acted communication & IT management guidelines are applied.
- Support some procurement campaigns by providing offers pre-analysis, drafting documentation such as procurement memos & contracts if needed, deploying operational plans under the supervision of the Sr.log officer;
- Contribute to maintain the national supplier database up-to-date & to nourish it from existing contracts, as well as market surveys;
- Contribute to improve the reliability of the order follow-up, and its dissemination amongst operational teams;
- Support the efficient & exhaustive circulation, filing & archiving of procurement documentation as detailed in ACTED logistics manual (tender documents, contracts, quotations, etc.);
- Support transportation means review, and handle market survey if needed under the officer supervision.
- Support the periodic inventories, and clear stock discrepancies in a documented manner.
-Support the efficient & exhaustive circulation, filing & archiving of stocks & deliveries documentation as detailed in ACTED logistics manual (stock reception vouchers, stocks cards, stock exit forms, etc.).
- Support the efficient & exhaustive circulation, filing & archiving of all logistics functions documentation as detailed in Acted logistics manual, the documents should be the soft copies as well as the signed, stamped, copies. The volunteer should follow an original/copy strategy as per Acted manual.
