BACKGROUND:Under the authority of the Finance Assistant, the Finance Volunteer (FV) will be in charge of supporting the FinanceAssistant in his/her functions. More specifically, s/he will be in charge establishing, filing, and archiving vouchers,Timesheets physically and digitally. S/he supports the department for any specific task necessary for the mission,such as physical and digital filing, specific reconciliations, etc.JOB PURPOSE:The Finance Volunteer (FV) in the capital will contribute to Acted Compliance and Accountability and is in charge ofestablishing, filing, and archiving vouchers and Timesheets physically and digitally. S/he supports the department forany specific task necessary for the mission, such as physical and digital filing, specific reconciliations, etc.OBJECTIVES:1. Respect and follow-up of ACTED financial procedures.2. Filing and archiving vouchers and timesheets .3. Support the team during the audit period.DUTIES AND RESPONSIBILITIES1. Daily Basis:a. Scanning, filing, archiving the vouchers and timesheetsb. Follow up with the national and international staff to receive the missing timesheetsc. Support the Finance Assistant to provide supporting documents requested for auditd. Tax exemption: follow up and submission of all necessary documents to the Finance Assistantbefore submission to concerned focal points.2. Filling responsibilities:a. Amman archives: ensure that Amman archives are well organized and that all documentationhas a scanned copy archived on the serverb. Mission archives; ensure the document flow between the different bases and Amman, ensurethat scan copies are existing, ensure the packing list, check, etc – Responsible for red cell gamefollow-up.c. Liaison with Flats: a focal point for audit purposes with his supervisor
