Assistant Facilities Manager


What this job involves:


About the role


  • To provide soft services support to the Facilities Management team at assigned Facilities.
  • To work towards providing great human experience to occupants in assigned service deliverables

Responsibilities


  • In-charge for soft service operations of the site.
  • Lead the outsourced soft services onsite team for service delivery
  • Report to AFM-Shift In charge on matters pertaining to soft services concerns of occupants
  • Taking round of the office & carrying out the inspection to ensure office infra is available (plumbing, carpentry, interiors, common areas)
  • Demonstrate quality of rounds by raising tickets proactively on 360 tool and ensure closure with proper action. Ensure reactive tickets pertaining to soft services are closed as per TAT
  • Monitoring the employee response on online tool/ scheduled employee connects and take corrective actions on feedbacks
  • Housekeeping manpower planning and deployment
  • Implement PPM of soft services for regular and special cleaning, carpet cleaning, marble polishing, Drainoscopy etc
  • Oversee Key management and Parking management
  • Coordinate for employee moves
  • Maintain and implement applicable SOPs
  • End to end soft services vendor management and regular service delivery assessment
  • Training of soft services staff
  • Prepare applicable reports and maintain MIS
  • Maintain inventory of cleaning and toiletry consumables and place timely requisitions
  • Support FM for additional tasks as assigned

Experience & Education


  • Graduate in any discipline
  • Tertiary qualifications in hotel management (housekeeping)/ building management and/or business desirable
  • 5 – 7 years’ experience in facilities management
  • Proven ability to function effectively as part of a team
  • Proven ability to initiate and follow through with improvement initiatives

Technical Skills & Competencies


  • Excellent verbal and written communication skills as well as presentation skills
  • High energy, flourishes in fast pace, dynamic environments
  • Customer centricity
  • Comfortable working in a challenging environment as part of a team and is comfortable managing incidents and service failures
  • Able to adapt in a fast-paced working environment and versatile in meeting client changing needs and requirements
