Job Description
Job Summary:
You will be responsible for multiple Office Administrative Services and Employee Transport services, supporting the Facility Manager to manage overall workplace related services at the plant. You will ensure efficient operations and use of resources.
Your Responsibilities:
Office Administrative Services:
- Cafeteria Management at the plant
- Arrange all meetings, VIP visits , Clients and organising the consumables and supplies for the meeting
- Work with the Housekeeping vendor/Team to ensure maintain the standards of cleanliness , upkeep , hygiene.
- Take rounds of the facility to identify issues in and initiate immediate rectification actions
- Routine Inspection of all services to ensure standards are being maintained
- Managing Pantries for stacking of Tea/Coffee , water supplies , cleanliness and uptime of vending machines. Stock maintenance and ensure all time availability of the same
- Monitor the mail room activities
- Preparing the Daily/Weekly and Monthly reports
- Collecting all documents from the vendor for compliance audit
- Effectively manage and co-ordinate with Property Team to guarantee an on-time deliveries and fulfillment of the requirements in the Building/Campus
- Manage the Daily administration, including reports generation, stocks tracker
- Muster all the housekeeping staff of the shift before deployment and communicate the priorities of the day
- Oversee the pantry equipment and reprographic equipment operations and identify issues and take necessary actions
- Communicate to the Facility Team/In-charge all incidents , issues and pending problems in periodical briefings
- Indent monthly requirements for Soft services Housekeeping material , Toiletries , Pantry material following the month's budget.
- Periodic briefings and trainings to Vendor staff Training
- Maintain Assets of the Organisation and maintaining the Asset RegisterVendor management
- Grooming and real-time monitoring of the services and periodic reviews and ensure adherence to Service level agreement
- Carrying out Vendor Background Checks
- Process vendor Invoices with due diligence
- Transport Management :
- Vendor Management - Coordinating with the Transportation vendor regarding transportation planning and strategies
- Review Employee requirements and deployment of suitable vehicles
- Take the lead role in planning, allocating routes and vehicles following the needs of the employees
- Plan daily transportation schedules and assign the trips to Transport vendor
- Monitoring Arrival , Departures of the vehicles
- Transportation and safety standards are followed, to ensure that all vehicles deployed by the vendor are compliant with all legal
- Ensuring Transport compliances and the safety standards
- Developing new and improved transportation procedures
- To resolve unforeseen problems as they arise ensuring appropriate resolution of the same
- Escalation handling & coming up with corrective measures to ensure instances are not repeated.
- Handling employee complaints and highlighting the urgent ones to the Senior Management
- Ensure to provide immediate help to employees in case of any Emergency
- Get employee feedback periodically on transport service and work on to resolving the issues/concern/queries.
- MIS tracker and verification for invoicing purpose , ensure invoices are submitted on or before 10th of every month
- Plan to tweak/ adjust routing/number of vehicles to ensure maximum occupancy of the vehicles
- Try and bring down the Transport cost by implementing monitoring , processes and maintaining the service standards and with cost-saving programmes
The Essentials - You Will Have:
- Minimum 8-10 Years of experience.
- Education - Bachelors
- Experience in property, building or facilities management
- Experience in use of Transport Technology , Monitoring usage of the same
- Written & verbal communication , problem solving skills and ability to work with multiple client staff
- Experience with procurement and service improvement programs Knowledge of Occupational and Transport safety requirements and ability to manage daily activities using multiple systems
- Collaborate with other team members and departments
- Experience managing budgets & contracts
- Need based ready to work for extended hours , after office hours , holidays
- You will report to Facility Manager
