Position Summary: As an Assistant Manager-Workplace (Soft) Services, you will play a crucial role in enhancing the Occupant Experience within the Campus by overseeing and optimizing soft services operations. This position involves managing a team of executives to ensure the delivery of high-quality workplace services that contribute to a productive and comfortable environment for all occupants.


This role requires strong leadership skills, excellent communication abilities, and a keen eye for detail. You will be expected to foster a culture of excellence within your team and contribute to JLL's reputation for outstanding service delivery.


Key Responsibilities:


Leadership and People Management:


  • Manage a team of 5 Executive-Workplace Services
  • Align team priorities with client's business drivers
  • Foster teamwork, cooperation, and performance excellence
  • Act as a coach to ensure high staff morale and work ethics

Client/Stakeholder Management:


  • Deliver excellent customer service and meet contractual obligations
  • Build relationships with key stakeholders across all levels
  • Evaluate service response time and analyze occupant requests
  • Ensure client feedback is recorded and actioned

Procurement & Vendor Management:


  • Manage multiple vendors to deliver services on time and within budget
  • Oversee vendor procurement, renegotiation, and tendering processes
  • Administer contract approval and management programs

Finance Management:


  • Develop annual operating/capital plans and control expenditures
  • Monitor financial processes and ensure targets are met
  • Manage P&L for the account and achieve year-on-year savings

Health & Safety Management:


  • Ensure compliance with health and safety guidelines and policies

Site Operations Management:


  • Oversee soft services operations (cleaning, reception, helpdesk, pest control, landscaping)
  • Implement and maintain operational procedures and performance measures
  • Manage service contracts and ensure SLA adherence
  • Coordinate with local authorities on facility-related issues
  • Ensure legal and statutory compliance

Risk Management:


  • Maintain risk management programs, including OHS, fire safety, and environmental risks
  • Implement and maintain disaster recovery and business continuity plans
  • Manage incident reporting and escalation procedures

Reporting:


  • Oversee the preparation of weekly and monthly reports on soft services
  • Review financial reports and variance analyses

Training:


  • Ensure team is trained on facilities policies, procedures, and systems
  • Implement skill development and succession planning initiatives
