Job Title: Vendor Managed Service (VMS) Analyst

Introduction to role


As a Vendor Managed Services (VMS) Analyst, you will be instrumental in ensuring the accuracy and timeliness of supplier data creation in our systems, thereby enabling seamless and compliant purchasing and financial transactions. Your primary responsibility will be to provide support to business users, guiding them through the supplier onboarding and maintenance process in ServiceNow while proactively addressing any challenges they encounter. You will collaborate closely with diverse teams including Third Party Risk Management, Data Management Team, Finance Helpdesk, IT support, Procurement, Finance, and Purchase to Pay, among others.


We are seeking a candidate with a strong customer focus, an improvement mindset, eagerness to learn, a can-do attitude, and exceptional collaboration skills. The role will primarily support AZ users in Europe within a global environment.


Accountabilities


  • Deliver supplier onboarding activities (creation, extension, change, deactivation, activation, etc.) within agreed SLAs and KPI targets.


  • Communicate with AZ users to guide them effectively through the supplier onboarding process, minimizing rejections and delays, and providing timely updates on their requests.


  • Collaborate with various teams within Supplier OnBoarding, the wider Global Data Office (GDO), and other relevant departments to ensure best-in-class customer service.


  • Regularly follow up on open cases to ensure timely completion and avoid backlogs.


  • Interact with AZ suppliers in a professional manner when collecting supplier data or information required for the Supplier Diversity program.


  • Provide backup support within the team when required.


  • Identify and drive improvement opportunities where applicable.


  • Support process design changes and systems testing (UAT).


  • Actively participate in the implementation of necessary system or process changes to drive productivity, ensure compliance, and improve user experience.


  • Address more complex issues with the appropriate teams in the organization to achieve permanent problem resolution.


  • Achieve objectives in a timely and accurate manner.


Essential Skills/Experience


  • Strong interpersonal skills and a customer-focused mindset. Previous experience in a training or stakeholder relationship role would be beneficial.


  • Proven problem-solving abilities, a proactive approach to issue resolution, attention to detail, and strong follow-up skills.


  • Understanding of the Buying process (Purchase to Pay).


  • Minimum 2 years of experience in at least one of the following areas: supplier onboarding, buying, data management, or accounts payable processes.


  • Proficiency in ServiceNow, MDG/SAP with at least 2 years of hands-on experience.


  • Confident when speaking and presenting to small groups internally for knowledge sharing.


  • Previous experience in a shared services center or an internationally set up organization.


  • Fluent in English (speaking and writing); knowledge of an additional European language (e.g., German, Spanish, Swedish, French) would be useful but is not required.


  • Advanced Microsoft Excel skills for data analysis, pivots, etc.


  • Previous experience with other supplier onboarding systems would be advantageous.


  • Ability to apply (Gen)AI tools (e.g. Microsoft Co-Pilot, internal ChatGPT solution, etc.) in daily job or in specific projects would be advantageous.
