Sr Executive - Soft Services - Facilities Management


Location: Marathahalli


About the Role


Join our team as a Soft Services resource, where you will be responsible for ensuring seamless operation and management of various facility-related services. This position requires a proactive individual who can manage day-to-day operations, provide backup support for Facility Managers during their leave, and maintain a high standard of service delivery. The ideal candidate will be well-versed in operational risk management, possess excellent communication skills, and always present themselves in a professional manner.


Key Responsibilities:


  • Operational Risk Management:


    • Update and implement Emergency Response Plans and conduct necessary drills.
    • Respond to Facilities-related assistance requests after office hours.
    • Conduct operational audits and ensure compliance.
    • Handle escalation of incidents and problems effectively.
  • Administrative Support:


    • Provide administrative support to the Facilities Management team.
    • Ensure timely and accurate completion of FM reports for assigned facilities.
    • Be accessible for the escalation of all FM-related issues.
  • Helpdesk Management:


    • Oversee the Helpdesk work process.
    • Provide management advice to Helpdesk operators for escalated issues.
  • Facilities Coordination:


    • Ensure organization and execution of preparation for conferences/meetings and VIP visits during the shift.
    • Oversee Mailroom, Front Office, and Housekeeping Services, ensuring high standards of upkeep and service delivery.
    • Manage the Cafeteria Services and ensure caterers maintain hygiene and meet quality standards.
  • Service Assessment and Vendor Coordination:


    • Conduct service delivery assessments for housekeeping vendors.
    • Coordinate meetings with vendors to resolve service issues.
    • Regularly inspect the facility to identify and rectify issues in housekeeping, maintenance, and cafeteria services.
  • Team Management:


    • Prepare weekly shift rosters for Helpdesk, Front Desk, and Mailroom teams and communicate schedules to staff and the transport division.

Qualifications:


  • Proven 6+ years' experience in soft services management within facilities
  • Strong understanding of operational risk management and compliance procedures.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and manage multiple tasks efficiently.
  • Well-groomed and presentable at all times to represent JLL professionally.
