Position Summary

Position Summary and Location


·In this role, the Admin Execute is responsible to provide administrative support to Engineering Department. They are required to work under minimal to nil supervision on Daily, Weekly and Monthly MIS, Billing and Utilization reports. Your success will be measured by your ability to keep tasks on track, support the functional team, and contribute to the overall efficiency and effectiveness of our operations, directly impacting Oceaneering’s ability to deliver exceptional results to the stakeholders.


·This position is based in Chandigarh / Pune


·This position will require working from the office (full time)


·Ability to travel domestically and overseas up to 0-10% of the year






Duties & Responsibilities

Duties and Responsibilities


ESSENTIAL


·Provide support and maintenance to existing management information systems (MIS).


·Create and update records and databases with personnel, financial, asset, contact list and other data 


·Preparing utilization reports and presentations, retrieve information when requested 


·Scheduling and coordinating meetings, interviews, events and other similar activities  


·Ordering, maintaining and distributing office stationery items 


·Coordinating with various departments like Facility, IT, HR, etc as and when needed 


·Managing inventory of computer hardware, printers etc. 


·Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques. 


·Maintaining Engineering library, distribution and recovery of books 


·Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies. 


·Track calendars, appointments of management team and help with meeting set-ups 


·Arrange all facilities & equipment required for various events, meeting, training sessions and maintain assets that are in custody of Engineering team 


·Assist Engineering team members make travel arrangements as and when needed 


·Prepare expenses reports for senior management personnel 


·Create work instructions 


·Review work performed by other team members 


·Guide and mentor other team members 


·Provide general support to visitors 


NON-ESSENTIAL


·Demonstrates high level of initiative to accomplish individual objectives assigned as well as team goals.


·Work towards individual goals aligned with department and organizational objectives.


·Comply to organizational HR policies and procedures.

·This position has/does not have direct supervisory responsibilities.

REQUIRED


·Bachelors in Science/ Commerce / PGDCA/ BCA


·Professional experience of minimum 4 years as an Administrative Assistant 


·Proficient in MS Office applications (Word, PowerPoint, Visio, etc.) 


·Expert Knowledge on MS Excel including formulas, special functions viz. Pivot table, pivot chart, v-lookup, h-lookup etc.
