Title: Specialist – Knowledge Management and Bid Support


Business unit - JBS Marketing


Reporting to Manager – Proposal Writing


Key stakeholders - Proposal Managers, Bid Managers/Directors, Bid Coordinators, Sales Enablement and Operations Leads, Regional KM SPOC, Subject-Matter-Experts

Duties & responsibilities


What this job involves –


Work collaboratively with the Sales Leads and proposal writing manager to provide support for varied bid management and Knowledge Management tasks (including SharePoint)


Bid Support:


  • Actively engaged in gathering and managing regional content and data metrics, which are owned by multiple business teams in APAC.
  • Champion proposal best-practice; assist with driving consistency across all documents in accordance with JLL corporate standards & templates and revise necessary standards to fit region and client-specific demands.
  • Support the proposal leads in RFI/ RFP Submissions. Would need to edit or re-write the responses to provide the best suited responses.
  • Contribute content to the Solutions and Proposals library through development of case studies, CVs, baseline content and creative elements for pursuits.
  • Partner with functional subject matter experts and leaders to organize, manage, and share content with intended stakeholder audience.
  • Assist in development of bid presentations, in coordination with proposal managers, sales leads, client account managers, bid-coordinators, and graphic design specialists.

Knowledge Management Specialist


  • Key role in the design and management of the KM SharePoint site and workflow. Support in managing our regional knowledge network that is housed in an Office 365 SharePoint environment.
  • Manage content lifecycle and work with content owners to ensure items are updated on a periodic basis and ensure proper document tagging & naming conventions are adhered.
  • Maintain the library and other relevant business development collateral; identify best-in-class material.
  • Performing quality control/testing and provide feedback on the functioning of web features in displaying content on content platforms.
  • Ensure that the content management systems remain up-to-date, accurate, and functional
  • Staying informed on KM and SharePoint best practices to identify and apply best practice improvements.

Performance objectives


  • Provide quality support to the bid team by managing bid submissions within defined timelines, ensuring compliance with bid specifications and client requirements.
  • Implement, maintain, and improve knowledge management systems to facilitate seamless access and retrieval of information.
  • Ability to create/update content libraries
  • Ability to work on designing/ formatting tasks (intermediate level)
  • Ability to share ideas, display proactiveness, ownership of individual tasks, contribute in team projects, and ensuring closure in strict timelines
  • Teamwork, timeliness, quick learning, resourcefulness, ability to ideate – would be the key traits
  • Should be open to support during peak hours or after-office hours to contribute towards urgent client submissions

Key skills


  • Proven experience as a Bid management/ Support Specialist, Knowledge Management Specialist, or similar role.
  • Proficiency in using knowledge management software and related technologies.
  • Experience in design/ formatting in MS Word and PowerPoint.
  • Excellent communication and interpersonal skills, with the ability to facilitate knowledge sharing effectively within a diverse team.
  • Strong organizational skills and meticulous attention to detail.
  • Able to work on strict turnaround times, and have a problem-solving approach

Employee specification


  • Post-Graduate, with excellent academic credentials
  • 7-8 years of relevant experience from a professional services firm, including content management, and bid support
