Description of the Job- Essential Duties and Responsibilities:
- Overseeing all administrative tasks across the different offices and coordination across departments.
- Responsible for safe Transport of employees across shifts, ensuring timely arrival.
- Responsible for In-House canteen to facilitate food for employees, expats & guests.
- Responsible & In-Charge for Site Security control.
- Responsible for Domestic waste and scrap management.
- Responsible for movement of In bound and Out Bound Vehicles.
- Responsible for Implementing Lean for smooth operations in a cost effective manner.
- Travel Desk bookings, Hiring of Vehicles, etc.,
- Coordinating with external and internal agencies for the smooth running of operations.
- Front Office Management.
- Responsible for Visa and Immigration Processing for Employees, Expatriates and Foreign Contractors
- Assisting and support employees in relocation.
- Responsible to renew the annual agreements, PO, AMC & Statutory documents of HR &Admin department
- Maintaining stock of Admin consumables, Stationeries, Paper RIMs, etc in Admin Store.
- Coordinating with SCM for purchase, hotel booking and ticket bookings.
- Supervising office assistants, housekeeping supervisors, chauffeurs and maintain their attendance
- Event Management – Employees Get together, Day Out, Ayudha Pooja, company annual day, sports day, family day functions.
- Responsible to provide employee Uniform & Stationaries.
- Adhoc arrangements from time to time (Events, Emergency, Condolence, Festivals, etc.)
- Co-ordinate between the HR, IT and Finance department for ensuring employees requests
- Ensure that admin related bills are paid on time.
- Responsible for annual budget planning for Admin and Monthly MIS reporting of Budget vs Spend
- Responsible for projects like complete setting up of new Offices building, Guest house & Hostel building project.
- Develop & follow the SOP of day to day facility related activities suggested by the management
- Interacting with different departments for executing the maintenance (AMC) of all equipment for enhancing the overall efficiency.
- Ensuring the maintenance of proper hygiene by organizing Pest Control Services periodically in relevant areas.
- Plan, Implement and improve best 5’s practices in the office/canteen, etc,.and in the factory premises wherever applicable areas.
- Handling Local issues & interaction with local authorities.
Education and/or Work Experience Requirements: Education
Graduate/Post Graduate
Work Experience
Minimum 3 years in Admin (Manufacturing/Automobile)
Foreign Language/Grade
English (Good)
