JOB PURPOSE
- To act as a first point of contact for all customers to the People & Culture team.
- Process correspondence in relation to Payroll, Recruitment & Selection, Leave & Attendance and Learning & Development activities etc.
- To ensure accurate employee data is maintained both in the system and in the personnel files.
- To provide an effective Human Resources administration service.
- To co-ordinate end to end recruitment activities and managing the on boarding and orientation activities.
- To Ensure implementation of compensation & benefit programs in accordance with approved policies, procedures and Labour Law.
- To prepare and maintain the complete statutory calendar and checklist for the plant to achieve and maintain statutory compliance.
- To provide accurate HR reports as required.
KEY ACCOUNTABILITIES
Recruitment and Selection
- Handling end to end recruitment for both fresher and laterals, managing the complete life cycle for talent acquisition ranging from sourcing & screening the best talent from diverse sources to preparing the orientation package.
- Preparing and maintaining the recruitment tracker and talent pool database.
- Initiating employee background verification and issuing appointment letters for the new hire.
- Ensure that the HR service complies with safer recruitment practices and compliance including referral checks.
On-boarding and Induction
- Managing the on boarding activities namely welcome mailers, joining formalities, HR induction about company culture, beliefs, policies and procedures, documentation of certificates, recruitment and induction feedback.
- Conduct induction meetings with new employees and liaise with Line Manager’s and Mentors to ensure they are aware of their responsibility in the induction process.
Payroll
- Ensure that all payroll instructions are prepared and logged in time for the monthly payroll run and submitted to the Sr. Team Leader –, for example; salary variations, new starters, leavers, employee benefits and exceptions if any.
- In conjunction with Sr. Team Leader –(People & Culture), ensure all promotion & salary adjustments are implemented in accordance with Company policy.
Learning and Development
- Support the Administration of Business Support and Cross Employee development which includes booking development courses, liaising with providers, arranging in house training-courses and logging training hours in the appropriate systems
- Assist P&C team with the Employee annual appraisal cycle, record completed appraisals and training needs.
HRMS Database and Reporting
- Ensure the HR Database accurately reflects current employee conditions and details. This includes inputting starters and leavers, contractual amendments, change of details, annual leave and recording of sicknesses and other leave.
- Provide appropriate reports from the HR database for the purpose of auditing and monitoring employee data and training.
Advice and Guidance
- Provide day to day advice to P&C team on general HR related queries, requests and HR Policies and Procedures, escalating more complex issue with a sense of urgency.
- Assist in formal meetings, such as employee disciplinarians and grievances undertaking such tasks as may be required by the Sr. Team Leader – India (People & Culture)
Benefits Administration
- Assist P&C team) with the benefits administration process by collecting employees’ personal information, collating and maintaining the database with accurate data.
- Handling claims and sensitive documents required for the submission of claim with due care and diligence.
Union Relations
- Read and disseminate rules and guidelines regarding Labour Union and Building relationships with employee representatives including union leadership and council members.
- Monitor company or workforce adherence to labour agreements. Call or meet with union, company, government, or other interested parties to discuss labour relations matters, such as contract negotiations or grievances
- Investigate and evaluate union complaints or arguments to determine viability.
Statutory Compliance
- Licensing and Registration under various Labour Laws based on the new mandates.
- Preparing statutory calendar for monthly and yearly activities as stipulated by the statute.
- Calculation of Periodical Liability & preparation of Payment Challans accordingly.
- Preparation and Submission of Periodical Statutory Reports
- Attendance of Periodical Statutory inspections held by the Govt. Officials whenever required.
Attendance & Leave Management
- Administrate leave management system
- Follow up with managers for pending leave approval to ensure the correctness of leave balances
- Verify and process sick leave applications
- Maintain / update the correctness of data in attendance system
- Close the monthly attendance for payroll
Separation/Exit Management
- Ensure resignations are acknowledged in a timely manner, the Line Manager is aware of the process and any outstanding annual leave is calculated in accordance with the employee’s terms and conditions.
- Ensure exit interviews are conducted for all employee either face to face or electronically.
SPAN OF Communication
- Internal: All Employees
- External: Banks, Government institutions, Insurance Agents, Legal Consultants, External visitors and other vendors.

- Processing and administering all People & Culture activities for the plant with the final approval of Sr. Team Leader – India (People & Culture).
