What this job involves –
The Senior Facilities Manager must be a team player and work with other members of the team to meet all key performance indicators as set-out in the management contract with a focus on continuous improvement. He has tooperate from Vadodara ( Gujarat ) & guide the site teams in delhi / Rudrapur / mumbai locations on IFM activities as per the scope defined.

Qualifaction / Experience :
Graduate in Electrical / Mechanical Engineering with 15 years of experience ( defence / industry experience background )
Strong analytical skills.
Technical comprehension and experience with performance- based service contracts and vendor management
Knowledge of occupational safety requirements
Strong budget management and financial analysis skills
Demonstrated initiative
Excellent written and oral communication skills.
Client relationship management
Interpersonal skills with a strong client focus.
Team Leader with line management skills and the ability to delegate

Ensure the KPI Targets for the Account are met
Cost Saving initiatives are in line with the requirement
Position Goals:
To provide comprehensive facility, contract and procurement management with a focus on continuous improvement. To achieve financial and other KPIs established by the Client and the Account Manager. Delivery of services in accordance with the Convergys Management Agreement - Exhibit A Scope of Work – Service Level Agreements.
Operations
Monitor and Maintain all M&E related equipment’s including Electrical systems, UPS, DG Sets, Invertors, Lifts, HVAC, Precision A/C, Fire Fighting, Plumbing, Carpentry etc.
Manage & Implement standards set for soft services ( housekeeping / cafeteria / transport / security / admin )
Ensure strict adherence to client SLA’s.
Ensure strict implementation of EHS process
Establish Engineering & Operational procedures and roll out the same for site staff;
Establish contacts with local authorities on the facility related issues and maintain the relationship. Responsible for all legal & statutory related compliances, pertaining to Facility & Engineering operations.
Plan and manage the budgets for Engineering & Operational contracts.
Carry out Technical Audits for all installations at periodical intervals.
Manage projects to ensure the quality and deliverables with in the stipulated time.
Review the maintenance/service practices of M&E Contractors to deliver quality work practices in line with the manufacturer recommendations.
Plan & take responsibility for smooth operations of all Mechanical, Electrical, plumbing installations and civil works pertaining to the facility.
Responsible for planning a critical spare for all installations as per manufacturer’s recommendations and inventory.
To provide comprehensive facility, contract and procurement management for technical services to the client.
Responsible for development of all maintenance related schedules and plan shutdown activities in consultation with Clients.
Periodically inspect the logbooks, checklists and PPM schedules for a better management of Engineering systems;
Work towards ‘ZERO’ down time and set up the practices to ensure the delivery of seamless service to Clients.
Responsible for ensuring landlord’s compliance on availability of all statutory obligations.
Assume the responsibilities of FM, as and when required.
Implement the Energy management programs to reduce the cost on utilities.
Responsible for weekly & monthly reports on M & E, covering the maintenance contracts, spare parts consumption, Incident reports, etc;
Maintaining daily team communication / relationship while on the job, including dealing with Client expectations.
Implementation of LOTO procedures and various other safety procedures required for safe operations.
Monitor the operations of M&E vendor and ensure adherence to SLA’s.
Coordinate/monitor LL actions on areas controlled by them.
Ensure 100% uptime of all equipment’s.
Ensure implementation of FM global practices.
Tracking of Facility Operating Expenses
Liaison with the client Finance team
Tracking, verifying and filing all JLL and Facility related invoices
Client billing / invoicing and follow up payments by clients.
Be accessible for escalation of all FM related issues
Preparing the Daily/Weekly and Monthly reports
Collecting all documents from the vendor for compliance audit.
Oversee the Helpdesk work process
Effectively manage Facility team to ensure an on time deliverable system.
Provide assistance to FM in all administrative functions, security issues and Facility services and any other administrative functions deemed by Client
Ensure immediate response to Priority Calls
Take rounds of the facility to ensure high standards of upkeep
Communicate to the FM all incidents issues and pending problems
Participate in Emergency Evacuation procedures including crisis Management and business continuity.
Manage all Health & safety issues and actively participate in Health and Safety reviews.
Ensure compliance with statutory regulations on Fire, Health and Safety standards.
Ensure on Safety Procedures, including crisis Management / Business continuity and Emergency procedures are maintained at all times.
Maintain CEM Database for Site.
Risk Management
Assist in the implementation of a property risk management program which identifies major property risks including occupational health and safety, fire safety and essential services and environmental.
Ensure critical operations and sites are identified across the responsible sites.
Ensure data integrity of all systems across the responsible sites and audit data from time to time
Ensure disaster recovery and business continuity planning is implemented and maintained across the responsible sites.
Ensure escalation procedures are in place and observed for incident and problem reporting including advice to Responsible sitesal Managers and insurance company
Profitability/ Savings Initiatives:
Develop initiatives and strategies that lead to cost savings and service improvement
Reporting:
Ensure that the team delivers meaningful inputs across the responsible sites in the development of monthly management reports.
Review monthly financial reports including the preparation of accruals and variance analysis with FMs and Convergys Responsible site Managers (as required).
Assist in the budgeting and Recommit process including reviews with the FMs/ AFM’s and Convergys Responsible sitesal Managers as required.
Administer the OneView website and ensure that all reports and other relevant data is regularly updated.
Procurement and Vendor Management
Evaluate the vendor procurement and management practices of the various Convergys site FMs and AFM’s and ensure renegotiation and tendering, including tender documentation; evaluation of tenders and preparation of contracts is in accordance with agreed client procurement guidelines.
Benchmark services across properties within the country as well as across the responsible sites as required.
Administer the virtual approval process for contract execution
Co-ordinate and monitor the contractor management program
Training:
Ensure the team is well trained on all facilities policies, procedures and systems. Work closely with the JLL senior Account team to devise new and innovative methods of learning built around skill development, leadership and succession planning
Assign buddies for new team members to ensure team work, consistency & rationalization of the team
