QUALIFICATIONS

  • University degree or equivalent educational qualification
  • Prior experience of 10+ years as an Executive Assistant within a Fortune 500 company or a professional services firm, supporting high-level executives such as Managing Directors or CEOs
  • Outstanding verbal and written communication abilities
  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
  • Comprehensive knowledge of travel-related logistics, including booking flights, trains, accommodations, and arranging for travel documents like passports and visas
  • Skilled in planning, organizing, and executing significant meetings and conferences across various international time zones and cultures, maintaining composure and professionalism
  • Professional demeanor in phone communications, ensuring calls are handled promptly, messages are accurately recorded, and appropriate responses are provided when necessary
  • Demonstrates sound judgment in decision-making and adopts a pragmatic approach to problem-solving
  • Capable of multitasking effectively in a dynamic, deadline-driven environment, even when faced with uncertainty and frequent changes
  • Effective communicator with all stakeholders to ensure the delivery of a high-quality end product
  • Flexible and willing to work extended hours during peak periods


WHO YOU'LL WORK WITH

You will be based in one of our offices in India and you will handle and manage all administrative matters of the leadership of the firm and work with our consultancy office. The role entails providing secretarial and administrative support, with a 6 months’ probation period. You will handle and manage all administrative matters of and for the leadership of the firm.

WHAT YOU'LL DO

You will provide comprehensive assistant support, acting as a secondary point of contact and effectively leveraging time for client service professionals.  
You will independently manage and organize calendars, scheduling daily appointments and making decisions in the absence of explicit instructions. You will design and oversee complex travel itineraries, using discernment to evaluate potential impacts on priorities and adjusting plans to mitigate conflicts and risks as well as ensure all travel arrangements are meticulously planned, accommodating frequent changes and complexities.
You will evaluate and prioritize incoming correspondence, taking initiative to manage communications on behalf of client service professionals. You will generate precise and well-formatted documents and reports, often within strict deadlines, and draft additional content as needed.
Your responsibilities will include facilitating, planning, and executing meetings, conferences, and various internal projects across multiple international time zones and cultural contexts. You will provide administrative assistance, including the timely submission of timesheets and expense reports; maintain the utmost confidentiality in all aspects of your role; display strong interpersonal skills, fostering effective relationships both within the firm and with client offices.
