Job Description

The recruitment of this role takes place against a backdrop of significant evolution in records management and retention requirements by our clients, the markets we operate in and with the regulatory bodies that supervise us. The financial services industry has seen significant fines by regulators for poor records management processes, so getting this right is critically important due to laws, financial impact and avoiding reputational damage.



The candidate selected for this role must take a broad view of this critical, required landscape, yet one that is feasible to achieve and done so efficiently and reliably. Candidate is encouraged to work closely with Record Managers and Records Stewards to ensure smooth running of day-to-day records management tasks within the business lines. The role will report to the Team Lead supporting the Records Management Business Partner in the following:


  • Provide support to embed Records Management policies, standards and processes within Business Units and across the Group
  • Assisting businesses to accept the Enterprise Records Management Office (RMO) policy, standards, operating model, RACI and controls
  • Adopting a measured, justified approach to embed RMO standard processes in the respective business units, suggesting changes or updates that balance well between RMO requirements and practical applicability to the business units
  • Working with collaborators to identify and implement tools and systems needed to support the records retention program
  • Supervising and reporting on conformity to records management policy and standards, including coordinating regular Business Unit assessment and certifications
  • Supervising business conformance to controls (specifically on retention and disposal – archival/ transfer/ deletion of records) as per the regulatory requirements of the business
  • Attesting controls execution performed by Control Owners in the businesses
  • Validating accuracy of metadata within the Global Records Retention Schedule
  • Participating in audits, both internal and external, and seeking to always ensure zero non-conformances in the audits
  • Enabling businesses to meet their records management targets for the defined metrics, providing RCA, reports and status updates as applicable
  • Driving and maintaining RMO training schedule for all business lines
  • Implementing ideas on continuous improvement across all activities being performed
  • Coordinates the process of transferring records to and from records centres as handled by third party suppliers
  • Provide support in the administration and coordination of the destruction review process.
