Job Description

We are seeking a talented secretary for our Executive Office. The role will be based out of Bosch Koramangala office and report into the Global Head of Business and Markets (SDS/SA).


This is a vital function for the management of the SDS Executive office in all administrative aspects including calendar management, event management, routine daily tasks ensuring onboarding of new associates, handling visitors and enabling smooth operations of the office.


The role offers a collaborative and inclusive work environment and a chance to make a significant impact on the operations of SDS Executive Office.


Responsibilities:


Supporting SDS/SA Office:


  • Calendar management and support office events as needed
  • Communication and correspondence support
  • follow up on the open SDS/SA Office topics
  • Maintain process documentation and folder structure for the SDS/SA Office
  • Continuously assess and improve processes to enhance efficiency and effectiveness

Commercial coordination:


  • Budget mangement
  • Ensure timely and process-compliant approval of purchase requests/travel requests and/or other critical requests
  • Monitor the purchase process in line with compliance and support invoice process
  • Coordinate with CTG and RBNA colleagues for payments to the suppliers and also new supplier registration
  • Cross-functional coordination:
  • Coordinate with the SDS/SA administration staff based out of US for travel planning/events/meetings/payments etc.
  • Coordinate with Regional Sales Offices and their administrative staff based out of Japan, Middle-East, Europe and USClient Visit / Event Management:
  • Ensure that the client visits/internal events are handled smoothly
  • Coordinate with internal and external stakeholders to facilitate seamless operations w.r.t. travel, stay and/or facilities management during client visits

Additional Responsibilities:


  • Managing supplies for the office
  • Coordinate with Facilities Management on building/infrastructure related issues
  • Ensure all communication/correspondence received via post/courier are received and acted upon correctly

Job Requirements / Past experience:


  • Commercial education in Business administration
  • Proven experience for 5-8 years in office management (preferably of a VP-level executive)
  • A hunger to make things happen and you should enjoy working with different cultures
  • Excellent communication skills in English
  • Proficient in MS office
  • Strong problem-solving skills

Qualifications

Bachelors in any stream/Science/Maths/Economics preferrable; Strong knowledge of Bosch systems and tools preferrable
