About the job


This position of “R&D Operations Specialist” is part of R&D activities in Hyderabad Hub reporting to the R&D Head, India, Hyderabad Hub. To deliver on our pipeline efficiently, R&D has transitioned into the Hub-model with an ambition to

As part of the development journey of R&D in the hub model, this role will work closely with the R&D Head, India to manage and monitor day-to-day operations of office administrative tasks, supporting in managing outlook calendar, concur activities, onboarding requirement of the new recruits, organizing events, and facilitating the day-to-day activities for the head and the subsequent team to be hired. This is a pivotal role and the initial connect of the R&D with the stakeholders and employees.

Main responsibilities:


Operation


  • Manage and monitor the day-to-day operation of office administrative tasks for the R&D Hyderabad Hub team, ensuring smooth workflow and efficiency in administration.


  • Manage the Headcount, Finance and IT related reports and coordination.


  • Smoothen the onboarding journey of the R&D employees joining the Hub, keeping a track of headcounts and progress.


  • Act as one point of contact for any employee queries related to the R&D Activities at the Hyderabad site, with an opportunity to connect with the Budapest site as needed.


  • Contributes to the elaboration of current professional topics, in coordination and monitoring of the tasks.


  • Manages management’s diary, outlook calendar, booking and facilitating of all types of meetings including booking of meeting venues, and organizing events.


  • Arrange international and domestic travel arrangements and administration as required including expense reimbursements.


  • Manage suppliers in ordering different office equipment and service areas including initiating POs and overseeing the delivery.


  • Consistently demonstrates the core values, contributing to the business in a helpful, polite, and professional manner undertaking any task however big or small.


  • Assist with the preparation of presentations and reports as requested for the R&D activities or the Hyderabad Hub.


  • Work closely with other Administrative/Support staff and teams to ensure the delivery of the goals and outputs as required.


Organizational


  • Being a strong point of contact on Zoom/MS Teams/telephone to ensure all queries and issues are dealt with or escalated as appropriate.


  • Takes part in welcoming guests to ensure that a professional customer-focused service is provided at all times to both internal and external customers.


  • Coordinates newcomer onboarding and training progress according to the functional directions.


  • Coordinates the newcomer Buddy program (forms community, best practices, improved process, and onboarding experience).


  • Work time administration (sick leave, some different work schedules) and focal point towards HR administration.


  • Manages e-mail distribution lists and business system access administration (req submission, follow-up) as per functional inquiries.


  • Implement appropriate filing and other office procedures to facilitate a highly organized and smoothly functioning division.


  • Carry out any other general administration and assistant duties as required on behalf of the Centre Head.


About you


  • Experience:


    • 4+ years’ experience work performed in a similar area.


    • Proven ability to work effectively in a team-oriented environment.


    • Demonstrated organizational skills and ability to prioritize.


    • Previous experience in a team support/administration capacity within a fast-paced business.


    • Strong team player who is self-motivated and able to multi-task under pressure.


    • Proven ability to meet deadlines and make the best use of limited resources.

    • Managing outlook calendars, & distribution lists


    • Proficient in using Microsoft tools including MS Office, PowerPoint, Teams


    • Knowledge of communication tools, including zoom, conference calls


    • Familiarity with the tools like Concur, Excelity, Workday, eBuy etc. or capability to learn them quickly


  • Education: College graduate (advantage: manager assistant, secretary qualification).


  • Languages: Proficient in Spoken and Written English, ability to comprehend and respond on emails
