Summary of the position:
Alcon is hiring a procurement specialist to work in the procurement Center of Excellence (COE) team. This person will ensuring the smooth operation and optimization of the following applications: Contingent Workforce Vendor Management (Beeline), Travel (Egencia), SAP Business Network and Ariba catalog management.
This role encompasses managing system key performance indicators (KPIs), service level agreements (SLAs), service orders, incidents, enhancements.
Duties and Responsibilities
Under the direction of the Systems Development / COE Lead Fort Worth, this associate will:
Provide operational support for various procurement systems. Reprocess any failed invoices and facilitate the payment of these invoices between the supplier and Alcon AP. Service Order and Incident Management
Oversee the handling of service orders and incidents related to the systems.
Coordinate with internal teams and external vendors to resolve issues promptly.
Document and analyze incidents for continuous improvement.
Utilize a defined enablement process to expand digital communications through the SAP Business Network. Digital Communications includes PO, Invoicing, Other Supply Chain Collaboration (SCC) functionality for direct supplier and Catalogs. As required, facilitate catalog activation in conjunction with the enablement process. Enable purchasing from the supplier through the activation of catalogs within the Guided Buying solution of Ariba.
Work with suppliers & internal stakeholders on actions/queries related to Contingent Workforce Vendor Management (Beeline), Travel (Egencia), SAP Business Network Enablement, catalog management, supplier setup, how to submit Invoices, etc.
Communicate & work with end users and cross functional teams like accounts payable, sourcing & procurement & Master Data teams to resolve any transactional issues on an ongoing basis.
Before/During Implementation
Monitor and optimize the performance of Beeline and Egencia systems.
Oversee the handling of service orders and incidents related to the systems.
Execute catalog and enablement strategy.
Define and track catalog enablement success metrics.
Track and provide updates on status of supplier enablement and catalogs.
Follow-up with suppliers and internal stakeholders on actions related to supplier enablement and catalogs.
Test catalogs through Guided Buying.
Test all applicable transactions that are enabled for the supplier.
Prepare communications and coordinate deployment of supplier enablement.
Provide support to suppliers during/after enablement including setup activities.
Ongoing
Coordinate with internal teams and external vendors to resolve issues promptly.
Document and analyze incidents for continuous improvement.
Evaluate enhancement requests and coordinate implementation with development teams or vendors.
Ensure enhancements align with system capabilities and business requirements.
Troubleshoot integration issues and ensure data accuracy and consistency.
Collaborate with IT teams to enhance and maintain integration interfaces.
Continued enablement of new suppliers
Engage suppliers through continued communication to drive adoption.
Escalate trending issue to the appropriate leaders.
Ensure accuracy of data and perform all duties within assigned timeline & provide status of all activities.
Qualifications
Contingent Workforce Vendor Management like Beeline (Preferred)
Travel Solutions like Egencia (Preferred)
Knowledge in SAP Business Network (Preferred)
Knowledge in Ariba Catalog Management (Preferred)
Knowledge in Guided Buying channel for Ariba. (Preferred)
Team player with a positive attitude
Experience working against goals or contractual deadlines.
Strong interpersonal skills
Excellent communication including written, verbal and listening skills.
Quick learner
Education:
Bachelor's degree in Business Administration, Computer Science, Information Systems, or a related field.
Languages:
Excellent command of written and spoken English, other major languages are a plus
Experience:
Minimum of 3 years of experience with SAP, Ariba solutions, Egencia or Beeline.
Strong understanding of system performance management, SLAs, and KPIs.
Experience in incident management, problem-solving, and root cause analysis. Experience is ServiceNow is desirable.
Excellent communication, collaboration, and stakeholder management skills.
Ability to prioritize tasks and thrive in a dynamic environment.
