Payee Information Manager, French Language Program

Payee Information Management team supports the general business operations by providing various payment-related activities as a generalist or in a combination of disciplines in the Administrative Services.


About the Role


The Payee Information Manager (PIM) is responsible for supporting the Education, Reference, and Continuity books organization that include French Books and Encyclopédie Médico-Chirurgicale (EMC) Publishing for specific tasks during the content development process.


Responsibilities


  • PIM help in creating record to make contributor payments of the French language books for the French Global Content Partners (GCP) team.


  • Liaise with French Editorial team to obtain all relevant payment information for all authors and contributors for every newly signed/agreed title that contains non-royalty based payments and issue payments accordingly.


  • Pay reviewers, ad hoc freelancers and SMEs, other payment requests from the French GCP team, ad hoc invoices for permissions payments following request from editorial and other support teams.


  • Check payees’ records and update accordingly, if not available or a new payee, contact payee for setting up in the payment system/application.


  • Adhere to agreed TATs for payee setup and payments. Handle purchase order requests per the SLA. Follow up with the finance team in timely manner to ensure that the payee set ups and payments are completed on time.


  • Make payment requests for EMC articles' author flat fees, invoice payments for EMC Scientific Directors/Advisors, reimburse EMC members T&E expenses. Follow up with the payees as required.


  • Queries and questions from the authors and business need to be dealt with in a timely manner.


  • Report out to French GCP editorial staff on regular basis regarding progress of payments when requested.


  • Help manage contributor agreement, complimentary copy (and other non-sales gratis copy) fulfilment. Set up and maintain author/editor contracts in Exari.


Requirements


  • Ability to build, strengthen and maintain positive professional relationships.


  • Excellent command in English and French languages that include both written and verbal is necessary.


  • Strong analytical skills; Planning and organizing skills; Accuracy and attention to detail; Problem solving skills; Good interpersonal skills.


  • Initiative: Proactive, acts before being asked; Flexible: Able to adapt to changing priorities; Teamwork; Personal accountability: Takes responsibility for own actions.


  • An independent, strategic, and results-driven mindset, with a high level of diligence, as well as a customer-focused approach; handles confidential customer information appropriately.


  • Bachelor’s or master’s degree in any discipline.


  • 2-3 years of experience in customer-facing roles preferably in accounts payable or in the finance sector; Knowledge of end-to-end publishing process is an added advantage.
