ABOUT THE OPPORTUNITY:
Ford Foundation’s New Delhi Office (NDO) is hiring an Operations Assistant who will work in collaboration with the Operations Director to ensure that all critical functions such as people & culture, finance and business continuity, work effectively and efficiently. This is an ideal role for individuals who are self starters, willing to step into new frontiers and consistent problem-solvers.
HOW YOU WILL CONTRIBUTE:
The Operations Assistant will anchor the following roles:
People and Culture:
Support the Operations Director with key initiatives to enrich the office culture that demonstrates our values, engage with external experts and coaches as required.
Assist the Operations Director in managing effective recruitment strategies, performance alignment processes, and staff benefits in consultation with internal stakeholders.
Maintain and manage all key staff benefits, policies, records and relationships with external benefit partners (health, insurance, professional development, etc.), and assisting with employee engagement activities.
Business Continuity and Risk Management:
Prepare and deploy the business continuity strategy including key processes to preserve institutional memory, transition processes for unanticipated and planned exits and onboarding of new colleagues to ensure smooth transitions.
Support the Operations Director in developing and implementing operational resilience strategies to ensure continuity in the face of disruptions.
Maintain necessary records and documentation related to risk management.
Finance:
Support the Operations Director with payroll, budgets, and local compliance.
Operations Support:
Support all grantee convenings, events, staff engagements (including venues, logistics, overall experience) in consultation with the Regional Director/ Operations Director and Program Officers.
Maintain files, managing vendor relationships, preparing travel reports, coordinating with vendors, providing administrative support, etc.
Coordinate with vendors, resolve technical issues, and maintain IT equipment records.
Maintain and update the contact management system for the office; staying informed about Foundation activities.
Operations Director’s Office:
Support the Operations Director in key strategic initiatives including grant governance, regulatory compliance, partnership management, etc.
Manage activities, projects, filing, and travel arrangements for the Operations Director.
WHAT YOU WILL NEED:
The Foundation looks forward to engaging with candidates who work well in culturally diverse teams and have:
Baccalaureate degree in related field or equivalent relevant experience.
At least 5 years of professional experience in operations, HR, or related fields with foundations, non-profit organizations or the private sector.
Strong solution-orientation coupled with an ability to work with diverse colleagues and partners.
Ability to work in a high-volume work environment, maintaining attention to detail and accuracy.
Strong organizational and problem-solving skills, proficiency in Microsoft Office programs (Google Docs, Word, Excel, PowerPoint), and excellent interpersonal abilities.
