Job Description

QUALIFICATIONS

  • A graduate with a specialization preferably in management
  • 8+ years of experience in managing core ground transport operations
  • Proven expertise in digital transport management systems such as Move-in-Sync or Commute Ease including manual routing, managing fleet for more than 150 vehicles chauffeurs and transport supervisors
  • Proficiency in MS Office (Excel, Word, PowerPoint); ability to manage, analyze, and articulate the MIS for transport operations, including checking and verifying trip sheet, invoicing, etc.
  • Experience and confidence in managing transport for large events for the office
  • Exceptional organizational skills, attention to detail, and the ability to work independently under pressure

This department is dedicated to managing the firm's transport facilities, prioritizing the safety and security of all users, and coordinating effectively with building services to maintain operational excellence.

WHAT YOU'LL DO

As an Office Services Coordinator, you will take the lead in coordinating of transportation, which includes supervising external contractors and vendors while performing quality control inspections to ensure high standards. You will be responsible for maintaining discipline and managing conflicts among various transport vendors and drivers, fostering a professional and efficient environment. Your focus on employee safety will be paramount as you plan and implement proactive measures to prevent accidents and ensure safe, timely arrivals and departures.  
In this role, you will manage the use of company cars, leveraging your expertise to assist in operations with innovative and efficient route planning that optimizes the firm’s resources. You will also coordinate outsourced transport services, including aspects of security and transport management, ensuring seamless operations. Additionally, you will collaborate with team members and transporters to arrange special transportation needs for conferences, events, and training sessions.
You will oversee the timely renewal of contracts and agreements in alignment with the firm’s guidelines while ensuring full compliance with transport documentation, safety, and security requirements. Your role will also involve planning and executing on-site and off-site office events, working closely with committees, facility teams, hotels, vendors, and security to deliver successful outcomes.
As a key liaison with building management and external authorities, you will address transportation-related aspects such as parking, conflict resolution, and accident management. You will provide direct assistance and back-up support to the department manager and teammates across various office transport areas, ensuring smooth operations.
Your responsibilities will also include maintaining an up-to-date vendor database, processing bills, ensuring the timely disbursal of cheques, and creating and maintaining monthly expense reports and other MIS as required by management. This role will allow you to showcase your organizational skills, attention to detail, and commitment to excellence in managing the firm’s transportation needs.
