Job Summary:


We are looking for a dedicated and experienced Facilities and Administrative Manager to oversee the daily operations of our GCC - Bangalore facility and ensure smooth administrative processes. This role will require someone who is detail-oriented, proactive, and skilled in managing office facilities, handling administrative tasks, and optimizing resources to maintain an efficient and productive work environment.


Key Responsibilities


Facility Management:


  • Oversee the maintenance and operations of the office premises, including managing vendors and service providers for cleaning, security, HVAC, electrical systems, and other facilities-related services.


  • Ensure the office is compliant with local safety and environmental regulations, including fire safety protocols, emergency exits, and first-aid kits.


  • Manage and monitor office equipment, furniture, and fixtures, including procurement, installation, and periodic maintenance.


  • Conduct regular inspections to identify and address any maintenance or repair needs.


  • Handle space management to optimize office layout and use, ensuring efficient utilization of space.


Administrative Support:


  • Provide general administrative support, including coordinating office supplies, overseeing mail handling, and managing company records.


  • Assist with travel arrangements, including booking flights, accommodation, and transportation for employees and executives.


  • Organize and manage meetings, conferences, and corporate events, ensuring all logistics and requirements are met.


  • Serve as the point of contact for office inquiries, managing phone calls, emails, and other correspondence.


  • Oversee and maintain office policies and procedures for day-to-day administrative functions.


Vendor and Budget Management:


  • Liaise with external vendors and contractors, ensuring cost-effective and efficient delivery of services and supplies.


  • Prepare and manage the facilities and administrative budget, ensuring expenses stay within the allocated budget.


  • Negotiate contracts and service agreements with vendors and suppliers, ensuring the best terms and conditions for the organization.


Health and Safety Compliance:


  • Ensure that the office complies with local regulations regarding employee health, safety, and well-being.


  • Organize periodic safety drills, including fire drills and evacuation procedures.


  • Monitor the workplace environment and recommend improvements related to ergonomics and employee well-being.


Team Leadership & Coordination:


  • Supervise a small team, including administrative assistants or facilities staff, to ensure all administrative tasks are completed on time and to the required standards.


  • Coordinate between departments to ensure smooth operations and provide support to employees as needed.


Qualifications:


  • Bachelor’s degree in Business Administration, Facilities Management, or a related field (preferred).


  • Minimum 10 years of experience in facilities management or administrative roles, preferably in an office or corporate environment.


  • Strong knowledge of office operations, vendor management, and budgeting.


  • Proficiency in Microsoft Office Suite and facilities management software.


  • Excellent communication, organizational, and multitasking skills.


  • Strong problem-solving abilities and a proactive approach to handling challenges.


  • Ability to manage multiple priorities and meet deadlines.


  • Knowledge of health, safety, and environmental regulations in India is an advantage.
