Executive Assistant to India Country Head and India Executive Assistant Coordinator
What you will be responsible for:
- Independently and efficiently administer country head calendar by coordinating complex meetings involving senior level internal and external participants including clients, vendors, regulators, and government officials, and professional associations
- Organize and execute travel arrangements often involving complex logistics and coordination with internal and external counterparts
- Determine priority of matters of attention for the country head; redirect matters to staff to handle, as appropriate
- Handle highly confidential and sensitive information that pertains to company strategy, client issues, and employee related matters
- Prepare, reconcile, and submit expense reports
- Exercise discretion and judgment with respect to matters of significance such as managing deliverables, resolving issues, prioritization of projects, etc.
- Work in close partnership with EAs across business areas and geographies
- Act with diplomacy and discretion, work well under pressure always maintaining professionalism
- Respond to and screen telephone calls to determine proper resolution or routing
- Review and disseminate incoming documents and communications
- Ensure country head has required reports, updates, and meeting materials on a daily, weekly, monthly or quarterly basis
- Plan events, catering and reserve internal or external venues as needed
- Operate as manager and coordinator for the Executive Assistants (EAs) based in India to ensure consistent approaches and standards, trouble shoot issues, and create a greater sense of community amongst the team
- Train, motivate, develop, and evaluate staff
Qualifications
- 10+ years supporting senior executives
- Proficiency in the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel); advanced knowledge of Microsoft Outlook including calendar tasks, journals and contacts
- Modern and innovative working concepts and an ability to drive continuous improvements with processes, tools and approaches
- Exceptional writing, editing and proofreading skills
- Exercise good judgment in the face of ambiguous information
- Ability to use discretion in researching and analyzing problems
- Enjoys a rapidly changing environment; ability to adapt to changing priorities and meet deadlines
- Strong interpersonal skills and customer-service oriented with skills in establishing and maintaining effective working relationships at all levels
- Self-motivated, willing to assume responsibility without direct supervision
