Oliver Wyman is now looking to recruit a Travel Expense Coordinator to join our India office and be part of our IMEA team!
The role will be based out of Gurugram office.
Job Overview:
The IMEA travel expense coordinator will be responsible for coordinating travel payments and expenses made onto the AMEX Meeting cards assigned. The assigned Amex meeting cards will be the central mode of payment for flight tickets and hotel accommodations booked through BCD Travel, for new joiners and interns. The role will review and make sure that any request received includes justification/reason, applicable project/case code and approval prior to payment. The role will also work within our iProcurement payment processing team, providing regional support on invoice processing when needed. The role will provide periodic reporting and expect to raise irregularities on any payment process requests.
Key Responsibilities:
Maintain and manage the OS direct billing mailbox where BCD and hotel invoices will be received
Ensure all expenses are accurately recorded and categorized within the iExpense system
Assist with AMEX card-related inquiries and troubleshooting
Maintain detailed records of all travel expenses and payments
Coordinate with BCD to resolve any invoice discrepancies or issues
Ensure that transactions paid using the procurement card are for the eligible employees (interns and new joiners)
Audit invoice details and make sure the supporting communication includes the correct charge code and approval from Project Manager
Reconcile and submit expenses via the iExpense system. Make sure all expenses are submitted for the current billing period for each procurement card and submit all copy of invoices along with email approvals
Monitor expense reports to make sure of timely approval and payment before the due date
Work closely with the account owner of the meeting card and make sure to keep the account in good standing
Process invoices through the iProcurement system for multiple departments and project teams across IMEA
Maintain detailed payment tracker
Stakeholder management. Escalate when payments are held up, by liaising with relevant stakeholders to address roadblocks
Proactively dealing with issues, effectively communicating on status of payments or issues in a timely manner
Minuting meetings
Experience Required:
Experience in accounts reconciliation and payment processing
Understanding of statements of accounts and billing cycle
Working with online systems and accounting tools
Working with online systems and tools
Skills and Attributes:
Fluent written and verbal English
Comfortable with Accounting systems & Excel
Excellent numerical & budgeting skillset
Previous bookkeeping experience desirable
Driven to provide a high level of service in a fast-paced environment
Excellent attention to detail
Can work effectively autonomously
Ability to manage multiple stakeholders clearly
The ability to be productive and flexible and effectively prioritize multiple requests
Proficiency in Microsoft Office Suite
