About your team


Global HR Shared Services & Governance is a central hub of capabilities to provide HR Support Services, Payroll, Background Vetting services, Benefit Administration & HR Regulatory Operations and Governance to staff and HR teams across all business areas of Fidelity Iinternational (FIL) & Eight Roads. The objective of the function is to leverage HR technology infrastructure to deliver efficient HR processes and aim for operational excellence globally while ensuring HR Regulatory Operations and Governance within Chief People Office (CPO). Our team members are based across India, China, United Kingdom and Luxembourg to provide these services globally within FIL.


About your role


The role sits within the Global HR Shared Services and Governance teams and works in partnership with all HR teams and business groups to manage global benefit administrationa and operation with focus will be on developing and implementing a strong foundation of processes, systems, measurements, and controls with impactful communication and stakeholder management that can help deliver high performance consistently.


Benefits Administration:


  • Responsible for benefits operational processes including joiners, leavers, absences, data changes, monthly payroll, invoice payments
  • and any other administration processes.
  • Assist with global benefits administration, invoice processing and employee queries within agreed service level agreement.
  • Manage case management portal (ServieNow), mailboxes and triage employee queries and coordinate with relevant internal Fidelity teams to provide timely resolution. Assist employee to ensure Workday data integrity that is mandatory for Darwin integration for personal data.
  • Fast leaner to gain knowledge on Fidelity specific and statutory benefits policies and processes of the country will be required.
  • Reconciliation of benefits plan membership, payroll and external provider records to ensure the accuracy of coverage.
  • Responsible for documenting and updating the processes.
  • Provision of census data to benefits providers as required. Run reports from appropriate systems i.e. workday, Darwin etc to extract data.
  • Responsible for monthly and annual pensions administration, ensure contributions are correct and funds are invested on time. Basic understanding of the company pension plan and/or statutory requirements of the country will be needed.
  • Maintain the relevant documents such as online articles, policy information and application forms for all online and off-line contents, including ServiceNow, My Fidelity Benefits portal (where applicable), Workday, Employee Handbook etc.
  • Undertake administration tasks where benefits plans require employer approvals, arrange documents to be signed and maintain records as appropriate.
  • Reconcile invoices and provide information to payroll for disbursements. Collate tax information where applicable and communicate to payroll.
  • Apply exception processing and co-ordinate instruction for payroll.
  • Assist with employee communication by identifying appropriate distribution lists and release communication.
  • Yearly checks for Holiday Buy and Sell upload where applicable.
  • Where My Fidelity Benefits is in place, assist with annual enrolment, system changes and system upgrades, and participate in testing activities.
  • Support vendor risk assessment processes, on-boarding and account set up activities.
  • Liaise with Benefit providers for employee queries, admin/processes, security risk and invoicing issues.
  • Work with providers to investigate issues with failed file delivery or integration issues and refer to appropriate internal teams.
  • Provide Benefits SME with stats for quarterly service review with vendors.
  • Create and maintain process documentations eg. Standard Operating Procedures (SPO)
  • Perform scheduled/adhoc reporting and dashboard activities.
  • Work as risk campion to participate in risk event reporting and detailed Risk and Control Self Assessment (RCSA).

Experience and Qualifications Required


  • Hands on end to end experience in Benefits/Rewards Administration with global exposure.
  • Should have a good working knowledge of ServiceNow, Workday, Darwin and Microsoft Office suite.
  • Ability to plan, organize, and manage time across multiple tasks and stakeholders, working individually or as a member of a cross-functional team
  • Ability to manage and motivate team members effectively
  • Proactive approach to stakeholder engagement at all levels, problem solving, and ongoing development of analytics and insight
  • Should have an eye for details and go into the depth of issues where needed.
  • Should have exposure to working in a global environment with an ability to work with people across the globe in different time zones and with different cultures.
  • Strong Communication Skills, Collaborative, Positive Can-Do Attitude, High Energy.
