Job Description

Key Responsibilities:


  • Calendar & Schedule Management:
    Efficiently manage and prioritize calendar, ensuring that meetings, calls, and other engagements are scheduled optimally and without conflict. Proactively adjust schedules when necessary to accommodate last-minute changes.
  • Communication & Correspondence:
    Act as the primary point of contact between the CEO and internal/external stakeholders. Manage phone calls, emails, and messages, ensuring timely responses and action. Draft, proofread, and manage executive-level correspondence.
  • Travel & Event Coordination:
    Arrange travel itineraries, including flights, hotels, and transportation. Organize accommodations for the CEO and guests. Coordinate logistics for internal and external events, including meetings, conferences, and off-site engagements.
  • Meeting Preparation & Support:
    Prepare agendas, presentations, and relevant documents. Take detailed notes during meetings, track action items, and follow up on outstanding deliverables.
  • Project Management & Executive Support:
    Support the CEO with various projects, tracking deadlines, managing workflows, and ensuring that the CEO has the resources they need to make key decisions. Assist in research, reporting, and administrative tasks as required.
  • Confidentiality & Discretion:
    Handle sensitive and confidential information with the highest level of integrity and professionalism. Exercise discretion in decision-making and communication both internally and externally.
  • Office Management & Support:
    Assist with managing office-related tasks, such as ensuring the CEO’s workspace is organized, maintaining office supplies, and liaising with other departments for resource allocation.
  • Strategic Liaison:
    Serve as a liaison between the CEO and other senior leaders, facilitating clear communication, ensuring alignment across teams, and sometimes representing the CEO in meetings when required.
  • General Administrative Support:
    Perform general administrative duties such as filing, maintaining databases, handling expenses, preparing reports, and other tasks as needed.

Qualifications:


  • Proven experience as an Executive Assistant, or similar role, preferably supporting senior executives or CXO’s.
  • Organizational skills with an ability to handle multiple priorities and meet deadlines.
  • Excellent communication skills, both written and verbal, with the ability to engage with stakeholders at all levels.
  • Demonstrated ability to exercise discretion and handle sensitive matters with confidentiality.
  • Strong attention to detail and the ability to anticipate the needs of the reporting Manager.
  • Strong problem-solving skills, with the ability to be proactive and take initiative in fast-paced environments.
  • Ability to work well under pressure and manage conflicting priorities.

Preferred Qualifications:


  • Bachelor’s degree or equivalent experience is preferred.
