The Colleague Experience Group is focused on providing a great colleague experience every day. Our mission is to obsess over understanding the colleague experience at a deeper level to co-create simple and great ways of working that enable everyone to be and deliver their best.


This role supports the Hong Kong based Colleague & Labour Relations VP for APAC, and the Australia based International Colleague Strategic Partner VP, for Australia, New Zealand, Malaysia and Philippines. The successful individual will have responsibilities which include, but are not limited to:


  • Working with both VPs to facilitate their team effectiveness across the geographic area.
  • Calendar Management: Organization and management of complex calendars using a high level of integrity, confidentiality, managing across senior business partners, different time zones and international markets.
  • Expense Management: Ensuring timely preparation and processing of expense reports and invoices; review expenses submitted to the leaders and highlight any out of policy spend. 
  • Projects: Lead or support special projects being managed from the CLR and International VP Offices and requiring coordination, e.g., Enterprises Essential Trainings, Budget Consolidation and reporting, consolidation of ad hoc requests, etc.
  • Team Co-ordination: 

            -Coordinate mid-year and year-end process. 


            -Act as an active member of the VP teams and contribute to specific projects coordination. 


            -Assist with and co-ordinate leadership meetings led by the VPs e.g. agenda, room & telepresence bookings, meeting notes etc.


Travel Management: Managing travel arrangements including air, hotel, transfers and agendas -organize internal and external business meetings, making all necessary arrangements including sending invitations, booking rooms and arranging catering.


  • Support the CLR VP in the co-ordination of various CLR related activities e.g. BCP planning, meeting audit requirements etc.
  • Support CLR team with re-engineering activities e.g. creation of documentation, co-ordination of Outplacement Services, reporting etc.
  • General administrative support and other ad hoc duties as required.

Minimum Qualifications


    • Experience operating in an MNC environment
    • Proficient in Microsoft Outlook, Excel, Word, Power Point and possess the agility to manage / learn Concur and other internal platforms. 
    • Demonstrated ability to interact with senior management and handle confidential and sensitive information with discretion.
    • Fluent in English.
    • Strong work ethic, highly self-motivated, but understands the key need to be a team player.
    • Ability to multi-task and prioritize in a fast-paced environment.
    • Strong interpersonal and communication skills.
    • Excellent organizational and time management skills with strong attention to details.
    • Ability to be proactive and take initiative.
    • Self-starter as leaders will be based in different locations.
