Job Details:Essential Job Duties and Responsibilities:
- Performs administrative support involving all levels of complexity for site management/staff.
- Compiles and prepares information and materials needed for conferences, correspondence, meetings, etc.
- Takes initiative to resolve administrative issues and problems, gathers necessary information, and contacts appropriate personnel as needed and makes recommendations for implementation.
- Sets up and coordinates meetings and appointments as needed.
- Compiles and prepares reports and summaries.
- May compose correspondence on own initiative regarding administrative matters.
- Requests and maintains office supplies.
- Arranges for office equipment repairs and servicing as needed.
- Arranges for proper approvals for documents.
- Initiates travel arrangements and processes expense reports.
- Handles, processes, and maintains proprietary and/or confidential data.
- Assists in developing and documenting office and administration procedures for assigned functional areas.
- May advise and train lower level assistants/clerical personnel as needed.
Minimum Job Requirements:
- High school degree/diploma, or equivalent, plus a minimum of three years of experience performing clerical, secretarial or administrative duties.
- College courses, secretarial school, and computer training desirable
- Proficient in the use of a personal computer and word processing software. Knowledge of spreadsheet, database, presentation, e-mail and appointment scheduling software required.
- Ability to operate standard office equipment such as a computer, copy and fax machines, and calculators.
- Must be able to exercise tact, diplomacy, courtesy and judgment in communications with all levels of employees and outside contacts.
- Ability to follow written and verbal directions.
- Ability to perform clerical and administrative work requiring a high degree of accuracy.
- Ability to prioritize work, complete multiple tasks and work under deadlines.
- Ability to work at a computer for extended periods of time. Good oral and written communication skills.
