Position Overview

Executive Administrative Assistant to Baxter’s Bangalore R&D Site leader and supporting two other Director level leaders with day to day activities.

Responsibilities and Duties

• Act as the point of contact between the senior executives and internal/external stakeholders.
• Undertake the tasks of receiving calls, take messages and routing correspondence
• Handle requests and queries appropriately
• Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
• Make travel arrangements for the executives.
• Take dictation and meeting minutes and accurately enter data.
• Provides historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions.
• Follow up with stakeholders for closure of actions from meeting minutes.
• Produce reports, presentations and briefs
• Develop and carry out an efficient documentation and filing system
• Coordinate and make arrangements for team events, offsite meetings.
• Welcomes guests by greeting them, in person or on the telephone, and answering or directing inquiries, including coordination and assistance for local accommodation and transportation.
• Creating expense reports and submitting for reimbursements.
• Contributes to team effort by accomplishing related results as needed.

Education and/or experience

• Graduate with minimum 15 years of work experience.
• Proven experience as an Executive Administrative Assistant, Senior Executive Assistant or in other secretarial position for a minimum of 10 years.
• Full comprehension of office management systems and procedures
• Excellent knowledge of MS Office
• Proficiency in English, with high level verbal and written communications skills
• Exemplary planning and time management skills
• Up-to-date with advancements in office gadgets and applications
• Ability to multitask and prioritize daily workload
• Experience managing multiple calendars
• Experience booking travel
• Discretion and confidentiality
• Additional qualification as personal assistant would be considered an advantage
