Responsibilities
Workplace Management:
Curate and maintain an inspiring workspace ambience that energizes employees and fosters creativity and collaboration
Develop, document, and regularly update comprehensive SOPs pertaining to workspace management
Oversee the implementation of these policies, addressing concerns promptly and ensuring adherence across all departments
Partner with third-party vendors, such as housekeeping, security, and maintenance, to support the smooth functioning and aesthetic appeal of the space
Introduce innovative initiatives that elevate the overall vibe and coworking experience, ensuring the space feels dynamic, inviting, and engaging
Guest Management:
Plan and execute detailed arrangements for high-profile guest visits, ensuring a seamless and engaging experience
Serve as the corporate representative for guests, providing a warm and professional reception while addressing any immediate inquiries or concerns
Act as a dependable host to keep guests engaged and comfortable, even in the absence of the primary point of contact
Manage all logistical aspects of guest-related meetings, including refreshments, conference room setup, and technical support
Employee Onboarding:
Design and conduct orientation sessions to familiarize new employees with the company's policies, culture, and workplace practices
Develop a structured onboarding experience spanning one month, ensuring new hires receive the necessary resources and support to excel
Serve as the primary point of contact for new hires during their onboarding period, addressing any administrative or workspace-related inquiries
Collaborate with the Human Resources and Administration teams to facilitate a seamless and efficient onboarding experience
Travel Documentation and Management:
Draft and refine comprehensive travel policy guidelines to optimize travel-related expenses and ensure compliance with organizational standards
Effectively communicate travel policies to employees and ensure consistent implementation
Coordinate travel arrangements, including the booking of tickets, accommodations, and transportation
Manage travel documentation, such as visas, passports, and approvals, ensuring timely processing for business-related travel
Event Management and Employee Engagement:
Assume full responsibility for the planning, organization, and execution of corporate events, including town halls, corporate retreats, team-building activities, and annual milestone celebrations
Drive employee engagement initiatives aimed at fostering a positive work environment, enhancing morale, and strengthening team collaboration
Prepare budgets for events and engagement activities, ensuring cost-effectiveness while delivering high-quality experiences
Liaise with external vendors and service providers to ensure the successful execution of all events
Required Qualification
At least 3 years of experience in hospitality, event management, or similar
Bachelor’s degree in hospitality, business management, event management or similar
Excellent interpersonal & communication skills
A passion for fostering a positive and productive workplace culture
Ability to take direction and work independently
Travel occasionally as necessary.
