Facility Assistant Manager

The Facili􀆟es Assistant Manager supports the Facili􀆟es Manager in overseeing the daily opera􀆟ons and
maintenance of the organiza􀆟on's facili􀆟es. This role ensures that the facili􀆟es are safe, func􀆟onal, and
well-maintained, while also coordina􀆟ng with various departments to meet their needs. The Facili􀆟es
Assistant Manager plays a key role in managing vendor rela􀆟onships, overseeing maintenance schedules,
and ensuring compliance with health and safety regula􀆟ons.


Your Role



 Assist in managing the day-to-day opera􀆟ons of the facility, including maintenance, security,
janitorial services, and space management.
 Coordinate and supervise the work of maintenance staff and contractors/service providers to
ensure 􀆟mely and efficient comple􀆟on of tasks.
 Monitor and maintain building systems, including HVAC, electrical, plumbing, and fire safety
systems.
 Conduct regular inspec􀆟ons of facili􀆟es to iden􀆟fy and address maintenance needs and safety
hazards.
 Assist in the development and implementa􀆟on of facility management policies, procedures, and
standards.
 Manage vendor rela􀆟onships, including nego􀆟a􀆟ng contracts, monitoring performance, and
ensuring compliance with service level agreements.
 Support space planning and u􀆟liza􀆟on efforts, including office moves, reconfigura􀆟ons, and
occupancy planning.
 Oversee of Facility interior construc􀆟on project and 􀆟mely execu􀆟on and comple􀆟on.
 Prepare and manage the facili􀆟es budget, including tracking expenses and ensuring costeffec
􀆟ve opera􀆟ons.
 Ensure compliance with health, safety, and environmental regula􀆟ons, including conduc􀆟ng
regular safety audits and inspec􀆟ons.
 Assist in the coordina􀆟on of emergency response and business con􀆟nuity plans.
 Provide excellent customer service to internal stakeholders, addressing facility-related requests
and concerns promptly and effec􀆟vely.


Your Background



Key ingredients for succeeding in this role are your:
 Bachelor's degree in Facili􀆟es Management, Business Administra􀆟on, or a related field.
 Minimum of 10+ years of experience in facili􀆟es management or a similar role.
 Strong knowledge of building systems, maintenance procedures, and safety regula􀆟ons.
 Excellent organiza􀆟onal and project management skills, with the ability to priori􀆟ze tasks and
manage mul􀆟ple projects simultaneously.
 Strong interpersonal and communica􀆟on skills, with the ability to work effec􀆟vely with internal
and external stakeholders.
 Good Proficiency in facility management so􀅌ware and Microso􀅌 Office Suite.
 Ability to respond to emergencies and provide support outside of regular business hours as
needed.
 Cer􀆟fica􀆟on in Facili􀆟es Management (FMP) or similar is a plus.
 Ability to handle sensi􀆟ve and confiden􀆟al informa􀆟on with discre􀆟on and integrity.
 Physical fitness and the ability to respond quickly and effec􀆟vely in emergencies.
