Key Responsibilities:


Facility Soft Services Management:


Key Responsibilities:


  • Supervise and coordinate soft services, including housekeeping, janitorial, landscaping, waste management, and pest control.
  • Ensure service providers adhere to contractual service level agreements (SLAs) and quality standards.
  • Conduct regular inspections of facilities to ensure cleanliness and upkeep.
  • Manage procurement, vendor contracts, and budgets for soft services.
  • Ensure compliance with health, safety, and environmental regulations.
  • Address and resolve complaints or issues related to soft services in a timely manner.
  • Coordinate with internal stakeholders to meet organizational goals and improve service efficiency.
  • Track and monitor KPIs for service delivery and identify areas for improvement.
  • Collaborate on sustainability initiatives, such as waste reduction and recycling programs.
  • Provide reports and updates to senior management on service performance, budget, and improvements.

Occupancy Planning & Space Management:


  • Space Utilization: Monitor, analyze, and report on space usage and occupancy data to optimize space allocation and identify areas for improvement.
  • Space Planning: Develop and implement strategies for workspace allocation that align with business growth, operational needs, and employee comfort.
  • Workplace Design: Collaborate with architects, designers, and project managers to create flexible, efficient, and innovative office spaces that reflect the company's culture and needs.
  • Seating Assignments: Coordinate seating allocations, moves, adds, and changes (MAC), ensuring timely communication with relevant stakeholders.
  • Workplace Standards: Ensure compliance with workplace design standards, health and safety regulations, and accessibility requirements.
  • Forecasting: Work closely with business units to forecast space needs, anticipate changes in headcount, and plan for future growth.
  • Space Audits: Conduct regular audits of the workplace to maintain updated occupancy data and ensure the accuracy of floor plans.

Qualifications:


  • Bachelor’s degree in Facilities Management, Architecture, Interior Design, Business Administration, or a related field.
  • 3-5 years of experience in occupancy planning, space management, or facilities services management.
  • Knowledge of corporate real estate, space planning software), and workplace design trends.
  • Strong organizational and project management skills with attention to detail.
  • Excellent communication and interpersonal skills, with the ability to work collaboratively across teams.
  • Experience with vendor management and contract negotiation.
  • Familiarity with health and safety regulations, sustainability practices, and industry best practices in facility management.
  • Proficiency in Microsoft Office Suite, AutoCAD, and other space management tools.

First things first, your chief concern is to ensure a safer and more comfortable work environment to work in and visit. Part of the checklist you will run through are to plan and execute all preparations needed for meetings and conferences with clients and VIP visits. Likewise, the mailroom, front office and housekeeping all fall into your realm.


Being dedicated to great results


You should be mobile and capable of working anywhere because you will perform daily check-ins around the front office and lobby to ensure high standards. Whatever mix-ups or jams that you spot, you should be quick to figure out the best repairs. Your input and ideas will be sought to help steer the team in directions that help make the facility perform at its best.


A typical day for you also involves contact with vendors—reviewing their services and coordinating with them for the resolution of any service issues.

Core facilities management skills


If you’re a graduate in any discipline, you will most likely to qualify for this role. You should also have 5-7 years of experience in facilities management. It would be great if you have tertiary qualifications in hotel management, building management and/or business. 


Outstanding team prowess
