About the role

Rubrik is looking for an experienced and motivated AI Program Manager to join the AI Legal team. You will play a crucial role in accelerating Rubrik’s AI programs and initiatives and ensure smooth day-to-day operations. You will report to Rubrik’s Senior AI Counsel and work closely with cross-functional teams, including Product, Engineering, Procurement, Information Security, and IT to boost productivity and ensure seamless execution of activities, project management, and process improvement. We are looking for someone technically sharp and analytical but who also has a knack for understanding business and strategic needs of an organization. This role requires a combination of technical proficiency, attention to detail, and organizational and communication skills. You’ll be instrumental in scaling Rubrik’s AI operations globally.

We are looking for candidates who are comfortable working with tech executives and vendors, and able to work efficiently and cross-functionally to execute on behalf of Rubrik’s AI Committee and AI Governance Subcommittee, enabling Rubrik to harness the power of AI in a secure and responsible manner. You have executive communication skills and are proficient at running technical meetings. You are self-directed and a strategic problem solver.  Finally, you can handle complexity and ambiguity with proven ability to drive multiple programs concurrently and manage competing priorities. 

What You’ll Do:

• Project Management:
  • Drive technical & strategic AI programs and build strong partnerships with key cross-functional stakeholders including but not limited to Engineering, Product, Procurement, Information Security, and IT to drive business goals and ensure program success. 
  • Coordinate cross-functional teams for project execution and monitor progress.
  • Communicate effectively with stakeholders across the organization on matters related to area of responsibility.
• Legal Operations Support:
  • Provide operational and administrative support to the AI Legal team, including coordinating meetings, preparing documentation, and maintaining records.
  • Manage the intake and processing of AI tool requests from various departments.
  • Conduct research regarding legal and technical issues.
• Process Improvement:
  • Analyze existing AI processes and workflows to identify areas for improvement and implement best practices.
  • Develop and maintain standard operating procedures (SOPs) for AI operations.
• Technology and Record Management:
  • Implement, manage, and optimize technology solutions.
  • Create and implement employee training relating to AI tools, policies, and processes.
  • Oversee and manage AI Legal team records, ensuring accuracy and completeness.

Experience You’ll Need:

• 5-8 years of experience in program management or legal operations.
• Strong understanding of Artificial Intelligence technology and concepts, including machine learning, large language models (LLMs), Retrieval-Augmented Generation (RAG), and Generative AI.
• Detail-oriented mindset with a focus on accuracy and quality in project execution and data analysis.
• Capable of strong individual contribution and influence across non-direct reporting teams.
• Proven track record in project and business management with outstanding organizational skills and attention to detail.
• Experience leading and executing projects in a complex organizational environment and working on several diverse projects at the same time.
• Superb communication skills in both verbal and written forms, with the ability to craft and deliver content to operating teams as well as senior executives.
• Ability to excel in ambiguity and demonstrate solid judgment and rigor while executing in a fast-paced environment.
• Strong analytical skills with the ability to interpret data and derive actionable insights.
• Excellent with Google Suite and Slack.
• Data driven and passionate about AI tools and technology.

Nice To Haves:

• BS in Computer Science, Engineering, Information Technology, or a related technical field or JD degree or equivalent from an accredited law school.
• 5+ years experience at a large tech company or law firm leading AI and/or legal operations and program management.
• Cybersecurity awareness and understanding of industry standards and regulations (e.g., EU AI Act, NIST AI RMF, GDPR, CCPA).
