Job Summary:

Position is for an experienced person in Office Administration domain and will be responsible for managing Office Administration Services for Mumbai office.


Major Responsibilities:


  • Fair knowledge of:
  • Office and Facility Management services which would include Housekeeping, Pantry, Operations and Maintenance, Preventive Maintenance, Waste Management, Pest Control, Fire and Safety, Sustainability, Security Management, Access control and CCTV.
  • General office administration activities such as Asset management, Travel Management, Hotels and Guest Houses, Space Management, Expat Services Management, Parking Management, Mail Room and Courier, Event Management, Transport Management.
  • Contract Management, Vendor Management
  • Perform a variety of administrative duties of either a general or a specialized nature through research, analysis, and coordination with other functions and disciplines.
  • Responsibilities entail use of judgment and initiative within guidelines of well-defined scope.
  • Follow up to ensure completion of actions.
  • Review deliverables and monitor quality to ensure that all documents conform to established standards and procedures.
  • Assist employees with queries and solutions for related services.
  • With a thorough understanding of organizational structure, functions, and procedures, review incoming communications, work orders, and service requests for subject matter content and route to appropriate supervisor’s attention.
  • Coordinate requests from client, manager(s), and staff.
  • Perform data entry to maintain logs and track documentation. Set up and/or maintain electronic and hard copy files.
  • Determine action on important or emergent matters or know whom to contact in absence of manager(s).
  • Independently anticipate problems/changing priorities and alert manager(s) as appropriate.
  • Coordinate travel arrangements, including details of business plans. Prepare itineraries and expense reports.
  • Coordinate meetings, arrange for facilities, equipment, and refreshments.
  • Organize material for meetings, presentations, and training sessions.
  • Maintain standard office supplies.
  • Managing Month-on-Month expenses and preparing periodic reports (MIS) along with maintaining historic data.
  • Follow regular/monthly billing of all services and materials purchased. Verify and approve all such invoices for on time payment process. Ensure effective material management. Ensure inventory is always maintained at site to meet any urgent requirements.
  • Ensure safe, clean, and hygienic workplace.
  • Conducting safety orientation for all the personnel, for them to be familiar with the building layout plans and its firefighting and sprinkler systems, evacuation route etc.
Education and Experience Requirements:
  • Graduate with 8 - 10 years of experience in Facility Management and Administration domain.
Required Knowledge and Skills:
  • Person should be able to work independently and take decisions.
  • Good knowledge of MS Office.
  • Excellent communication skills with good command over English (both verbal and written).
  • Self-driven.
