XLICSE is an Ireland domiciled insurer with branches throughout the EU, as well as Australia, Hong Kong, Singapore, Malaysia and India. It primarily writes property, casualty and specialty insurance and facultative reinsurance for large national and multinational corporations and leading insurance companies. XLICSE is part of AXA XL (a division of AXA group) which also operates in several jurisdictions worldwide.
Having obtained the certificate of registration from IRDAI to operate as a reinsurance branch located in Mumbai in 2017, the branch is well positioned to effectively develop and service clients of AXA XL in India.
As the Admin Manager of the India Reinsurance branch, you will manage and co-ordinate the office operations, provide administrative and reception support.
Additionally, you will perform a role for the investment function which is a mandatory function regulated under the Insurance Regulatory and Development Authority of India (IRDAI).

What will your essential responsibilities include?
Workplace Management
·Main point of contact for office related and administration enquiries. Maintain effective communications for all external and internal customers at all levels.
·Manage full spectrum of office facilities and safety, office risk assessment, fire drills, scheduled office building shutdown etc.
·Negotiate and maintain contracts and service agreements renewals and act as point of contact with building management. Disseminate circulars/information/notice to all staff as and when necessary
·Periodic reviews of third parties to ensure service level, price competitiveness and effectiveness is of a desirable level
·Maintain and manage issuance of staff pass and responsible for overall security
·Any other administration related functions in coordination with other teams in AXA XL
Physical Security, Safety and Health
·Ensure that Physical Security, Health and Safety Policy is implemented locally.
·Act as principal point of contact for organizational physical health and safety matters, report to Chief Executive Officer if necessary.
·Produce or update mandatory documents when requested with the support of the Physical Security Teams
·Conduct new hire training on physical security and safety awareness training related to site security and safety
·Report near misses and incidents to Physical Security and Safety Teams and Chief Executive Officer
Management Support
·Provide assistance to Senior Executives for travel arrangements, expense claims and when requested.
Reception
·Maintain reception area, ensuring the front desk is in optimal condition and upkeep the image of the company
·As the first point of contact, greet and attend to guest visitors professionally, take and direct calls.
·Manage mails and couriers.
You will report to the Chief Executive Officer of the Mumbai Branch.

·Qualification: Degree
·5 years and above of experience in a similar role. Relevant experience in Insurance preferred will be desirable
·Advanced knowledge of MS suite including Word, Excel, PowerPoint and Outlook
