Admin Executive


Work Dynamics


As the Site Lead you will be a team player who will work with all team members to achieve key compliance and operational KPI’s established by the Client and the responsibility of the JLL Team to deliver.


You will support the Account Manager in providing daily comprehensive facilities management including compliance, vendor and relationship management along with delivery of services in accordance with the Management Agreement and in accordance with company policies, procedures and processes.


This position is varied and at times hands on. There will be a requirement to interface with members from all levels of the organization as well as the public.


The ideal candidate should have a friendly, pleasant and energetic personality, who enjoys providing excellent customer service.


Major Responsibilities


  • Ensure compliance with regulations / requirements of client contract and all site procedures including Landlord Compliance requirements
  • Proactively develop and manage the relationship with the occupier and client to ensure service delivery expectations are exceeded
  • Assist delivery of customer and property services across the portfolio
  • Assist delivery of Floor inspections and complete associated reports within the governance timeframe for the allocated portfolio
  • Assist administration and organization of information for analysis and presentation to senior management team
  • Proactively contribute to the effective and efficient running of the portfolio, and share ideas for continuous improvement
  • Management of vendors, coordinate facilities works as and when required
  • Adhere to JLL’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies
  • Proactive management and monitoring of Help Desk / service outputs to achieve or exceed standards against agreed key performance indicators and service level targets and report regularly to key stakeholders or as agreed
  • Actively encourage an environment that supports teamwork, co-operation & performance excellence across the portfolio.
  • Provide superior customer service to meet the on-site client’s expectations
  • Build and develop effective client / stakeholder relationships across multiple levels of the organization
  • On-site key point of contact for Facilities in the client’s premises and across your portfolio
  • Handing the Project work, Tracking, Following up with Consultant with other supplier and experience in handing over and taking over all prospective.

Skill :


  • A strong communicator with good presentation skills and possess strong verbal & written communication skills
  • Someone who has a passion for quality –an eye for detail to make sure the best delivery of services
  • A team player who is able to cooperate and work well with others to meet targets
  • Honest & demonstrate trustworthiness
  • Someone who wants to solve problems with the capacity to deal with ambiguity
  • Able to work independently and as part of a team
  • Prior experience in facilities management, hospitality, Project handing over or related field preferred
  • Knowledge of local occupational health and safety requirements and vendor management for specialized services is advantageous
  • Strong customer service focus with excellent people skills and ability to interact with a wide range of client staff and demands
