POSITION PURPOSE
The Move One Immigration Coordinator is the primary point of accountability for Move One's immigration clients in their assigned destination and for the assignee during any immigration service.
WHAT YOU WILL DO ON A REGULAR BASIS
Stay abreast of changes in the country immigration laws and practices, changes in the immigration legislation and reporting on new requirements / changes to all the interested parties (Immigration Team /Key Accounts Manager/Country Manager / Product Manager / Clients);
Provide reliable, concise and correct immigration advice (written and verbal) at all times. Within 24 hours of RMC/Client initiation, send Immigration plan to assignee (including timeline and required documents). Verification of answers initial questions and identification of the applicable full procedure. Verification of special needs, interests, or requirements with the assignee, customer and HR manager, before and during the immigration service;
Make every attempt (in within the agreed system with the RMC) to speak directly with assignee soon after the processes overview has been provided to ensure they clearly understand the Immigration Service we provide and the plan. Within 48 hours of sending the processes overview, a call with the assignee should be scheduled (under the terms of RMC and if agreed with RMC) to discuss the details of the Immigration Plan.
Maintain regular contact with the assignee, customer and HR Manager throughout the service;
Immediately advising the client of any service related complaints, issues or challenges; Immediately notifying the Operations Manager of any service issues or escalations brought to their attention by a client; documenting the issues/challenges in V3 and placing the service alert; Excellent Customer Service to ensure customer issues are resolved.
Recording vital service related information in V3 daily by completing comments, statuses, time-tracker, costs other fields; Uploading service related documents to V3 including permits copies, passports, corporate documents, and all other documents received for application processing;
Prepare necessary applications, forms and submission at the appropriate authorities in order to obtain permits and documents related to foreign worker's legal stay in the location;
Ensure that all services are invoiced within the shortest possible time (not later than 48hrs after the service is complete), in accordance with clients billing requirements;
Ensure that immigration templates, information in V3 and on Move One website is always up to date; Updating client specific information based on client alignment;
Track upcoming expiration dates in V3 and notifying the appropriate contact (local HR, Lead Consultant, or HQ Regional Coordinator) of any expiration date notices; Completing any client forms related to the service and weekly reporting and calls wit RMCs. Providing clear and timely updates and service reports to any Move One clients for whom they are providing services;
Work independently while understanding the necessity for communicating and coordinating work efforts with other employees and organizations; Supporting business development by attending meetings with potential clients as required;
Maintain regular communications with the local immigration/labor authorities and remaining up to date on the immigration and labor regulations related to foreigners in their location; Reading regularly press and orders with information connected with immigration procedures. Updating manager on any changes in the related law;
