Job Description

We are an innovative staffing agency dedicated to connecting top international talent with exceptional companies in the US.


This specific role is not an external role for one of our clients but rather an internal role where you'd be reporting to our Head of Operations. She's cool.


As the Strategic Operations Associate, you will be responsible for optimizing our processes across various platforms, particularly HubSpot and ClickUp, and Slack. You will also be tasked with integrating additional tools like Deel and Stripe, ensuring our HR and billing processes are seamless. Your role will be key in ensuring efficient workflows, proper task assignments, and full integration across our systems to support seamless communication, project management, and billing operations.



Fully remote, 9AM-5PM EST.
Key Responsibilities:


  • Process Optimization:


    • Analyze and optimize existing workflows within HubSpot and ClickUp to ensure maximum efficiency.


    • Develop and implement new processes to streamline task assignments, project management, and deal stages


    • Continuously assess and refine processes to adapt to the evolving needs of the organization.


  • System Integration:


    • Integrate HubSpot with ClickUp, Slack, Deel, Stripe, and other relevant platforms to ensure smooth data flow and communication across systems.


    • Automate routine tasks and workflows to reduce manual efforts and improve team productivity.


    • Troubleshoot and resolve any issues related to system integrations and automation.


  • Task Management:


    • Set up and manage task assignments within ClickUp, ensuring that tasks are properly delegated and tracked.


    • Monitor task progress and provide regular updates to the team and management.


    • Ensure deadlines are met by optimizing task workflows and removing bottlenecks.


  • Training & Support:


    • Provide training and support to team members on using HubSpot, ClickUp, Slack, Deel, Stripe, and other integrated platforms effectively.


    • Create and maintain documentation for processes and integrations.


    • Act as a point of contact for any queries or issues related to CRM and process automation tools.


  • Reporting and Dashboards:


    • Build and maintain reports and dashboards to track performance metrics, process efficiency, and other key data points.


    • Provide insights and recommendations based on data analysis to support decision-making and strategic planning.


Qualifications:


  • Proven experience in CRM management, with a strong focus on HubSpot and ClickUp.


  • Experience with ClickUp for task management and project coordination.


  • Strong understanding of process automation and system integration, particularly with Slack.


  • Familiarity with HR and billing integrations such as Deel and Stripe - nice to have.


  • Excellent problem-solving skills and the ability to troubleshoot technical issues.


  • Good with Google Sheets


Preferred Qualifications:


  • Experience in a staffing agency or recruiting environment.


  • Certification in HubSpot or ClickUp.


  • Familiarity with other automation tools and platforms.
