Position Overview :_
We are seeking a motivated and detail-oriented Proposal Coordinator with 1-3 years of experience to join our team. The Proposal Coordinator will play a vital role in supporting the end-to-end proposal development process, ensuring high-quality and timely submission of proposals. This role requires strong organizational, communication, and project management skills to effectively coordinate with cross-functional teams and meet strict deadlines.


Key Responsibilities :_


Proposal Development :


  • Assist in preparing and organizing proposal documents, including compliance matrices, templates, and formatting according to client requirements.
  • Coordinate with technical and subject matter experts to gather required information and ensure proposal content aligns with the client's needs.


Project Coordination :


  • Develop and maintain a proposal schedule, tracking progress and ensuring timely delivery of milestones.
  • Communicate deadlines and deliverables clearly to all stakeholders involved in the proposal process.


Compliance and Quality Assurance :


  • Review RFP/RFI documents to ensure full understanding of submission requirements, evaluation criteria, and client expectations.
  • Ensure all proposals comply with internal standards, branding guidelines, and client instructions.

Content Management :


  • Maintain a repository of proposal templates, reusable content, and standard responses.
  • Work on updating boilerplate material to reflect the latest capabilities, case studies, and successes.

Collaboration and Communication :


  • Act as the central point of contact for proposal-related communication between internal teams and external stakeholders.
  • Facilitate meetings such as kickoff sessions, review discussions, and debriefs post-submission.

Administrative Support :


  • Manage proposal documentation, including version control and archiving.
  • Support reporting on proposal metrics, win rates, and lessons learned.

Qualifications:


  • Education : Bachelor’s degree in Languages, business administration, Marketing, Communications, or a related field.
  • Experience : 1-3 years in proposal coordination, bid management, or a similar role.
  • Skills and Competencies:
    • Strong organizational and project management skills with attention to detail.
    • Excellent written and verbal communication skills.
    • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel); familiarity with proposal management tools is a plus.
    • Ability to work under pressure, manage multiple deadlines, and prioritize tasks effectively.
    • Team-oriented with a proactive attitude and problem-solving skills.
