Job Description

Role Overview: -

 

Assist & support to the Project Management team in performing administrative functions.

 

Key KPIs include:

  • Lead Administrative requests.
  • On time payments
  • Coordination with HR team for employees requests
  • Microsoft Dynamics AX Revisions on time
  • Submit and settle Financial requests on time
  • Project closure sheet on time

Operations Management: -

 

  • Work closely with the project manager to handle all the project ‘s logistical and administrative tasks.
  • Register on MS Project all plans with achieved tasks and including delays.  
  • Follow up and Support project team to resolve Microsoft Dynamics AX issues related to Projects’ budget.
  • Ensure that all project expenditures are captured and properly recorded.
  • Review and process invoices/claims from suppliers and raise a flag to Head of PMs whenever necessary.
  • Follow up on any financial requests from the PM department with the financial department (purchase order, visas fees, tender documents).
  • Coordinate PM team meetings and facilitate communication between the project team members throughout the project life cycle.
  • File all the necessary project documents (correspondences in/out, purchasing orders, petty cash, attendance reports...) 
  • Undertake all the logistics to facilitate the transportation of the technical staff to the customer site. 
  • Handle international travels procedures with other departments to finalize allowances and reservations (Flights & Accommodations). 
  • Update reports and forecast on Microsoft Dynamics AX
  • Follow-up Internal Policies & Procedures such as Time Sheet (WTS), (CRM) &  ERP systems and fix any problems appear with its owners. .
  • Coordinate with PMs and procurement team to ensure that supplier relationships are well maintained and avoid any delays in issuing payments.
  • Provide a daily report to PM/Head of PM of pending Issues in Projects.
