The Role & What You Will Be Doing
The Meetings and Events Specialist will be responsible for managing and executing Company internal and external activities that include the day-to-day activities of digital &F2F meetings, congresses participations, Advisory Boards, Standalone events, Products Launch events, Medical Congresses, field force meetings and corporate affairs events. He/she will be a compliance champion who ensures adherence to applicable rules, regulations, and policies to ensure adherence to local laws and company compliance standards.

Key Responsabilities
Build and maintain strong relationships with vendors, guide vendor selection, and address performance issues promptly.
Provide responsive support and training to internal clients on tools, processes, and compliance requirements.
Manage sourcing, logistics, and budget planning for events, ensuring adherence to compliance standards and local government requirements.
Coordinate venue recommendation, negotiation, contracting, and execution of logistical arrangements, including travel and accommodations.
Oversee onboarding, execution, and reconciliation of events, ensuring accurate reporting and documentation.
Ensure proper use of company M&E tools and platforms, with a focus on data accuracy and compliance with internal systems.
Manage speaker engagement, contracting, and related activities in line with company policies.
Reconcile post-event compliance, budget, and activity data, ensuring timely submission of transparency reports and closure of vendor invoices.
Monitor adherence to KPIs, track budget phasing, and identify process gaps and best practices.
Maintain departmental documentation, including SOPs, workflows, and monthly reports on compliance, events, and invoices.
Act as a company champion for third-party technologies and vendor relationship systems.
Ensure all activities adhere to local and international laws, regulations, and company policies, partnering with legal and compliance teams to drive 100% compliance and raise awareness among stakeholders.
About Your Skills & Experience
For this role, we’re looking for a candidate who has an effective combination of the following qualifications, skills and experiences:
Bachelor’s degree preferred, with at least 2 years of experience in the pharmaceutical, hotel, or travel industry.
Fluent in written and verbal English; proficiency in Arabic is a plus but not required.
Proven ability to confidently communicate with internal and external stakeholders in a strategic meeting and congress setting.
Familiarity with event-related technologies and strong proficiency in Excel and PowerPoint.
Self-starter with good judgment and integrity, highly motivated and dependable
Ability to learn and utilize new systems and processes quickly.
Strong and consistent attention to detail and accuracy in all work product and communications
Require occasional travel.
