EgyBell is hiring a Governmental Affairs Administrative Assistant for a multinational financial organization located in Cairo.
Vision & Purpose:
The vision of this role is to enhance operational excellence and facilitate seamless administrative functions that support the Protocol department’s goals. The purpose of the Group Support position is to ensure that all office functions are managed efficiently, supporting the broader objectives of providing efficient Protocol services to the Bank. This role is crucial in enabling the department to maintain high levels of productivity and effectiveness in increasing protocol services efficiency.
Nature & Scope:
The nature of the Group Support role is multifaceted, involving a wide range of administrative and communication tasks that support the functioning of the department and the Director. This includes tracking tasks and staff requests, maintaining databases, preparing note verbal and reports, and ensuring policy compliance within the team. The job is inherently dynamic, requiring the individual to adapt to various tasks that assist in the operational management of the department.
This position demands a high degree of organizational skills, attention to detail, and the ability to handle multiple priorities simultaneously. It calls for a proactive approach to problem-solving and an aptitude for managing administrative processes efficiently. The role is designed for an individual who thrives in a collaborative and high-pressure environment, bringing both administrative expertise and support to the department.
Duties & Responsibilities MOFA Representative
Deal with immigrations authorities – Ministry of Interior. For the following:
Entry visa/ security clearance for house helps. Residence issuance/ renewals for house help and drivers.
Deal with Ministry of Foreign Affairs:
Submit Bank requests to MOFA related to the Bank and staff privileges and immunities accorded by the Bank Headquarter agreement. Build a good network of contacts at the Ministry of Foreign Affairs. Follow up on timely processing of Bank requests Submit Bank correspondence to MOFA. Keep records and receipt confirmation of bank correspondence to MOFA Write Note verbal’s, authorizations, letter of guarantees and all other correspondences required to process staff requests. Communicate with staff regarding their requests. Keep records of requests submitted and processed by date. Issue relevant report on Bank requests, processing timelines, challenges faced and time of resolution. Keep proper filing of Note verbal, requests, residences, and other staff documents
Requirements:
- Bachelor’s degree in administration, or a related field.
- Fluency in Arabic Language written and spoken.
- Very good English Minimum of
- 1 year of relevant experience dealing with the Ministry of Foreign Affairs and/or diplomatic missions in Egypt
- Excellent communication and interpersonal skills, with the ability to effectively interact with internal and external stakeholders.
- Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Proven analytical and problem-solving abilities, with keen attention to detail.
- Ability to work effectively in a fast-paced, high pressure, team-oriented environment.
- Proficiency in Microsoft Office (Excel, Word).
