Job Description:
Process Admission Applications
• Verify payment of application fee with the Accounting Office
• Enter paper applications into Admissions Application System assigning the applicant to a specific Admission Counselor
• Troubleshoot problems applicants experience using the online application
• Email applicants concerning incomplete applications with instructions on how to complete and properly submit application, including students with payment pending
Manage Data & Documentation
• Assign temporary Student Numbers for students without a Government ID in Admissions & University systems as necessary
• Receive and process "I am Coming Back" forms
• Oversee & maintain document imaging systems for the Office of Admissions
• Point person for student application semester change request
Serve as back up to Admissions Operations Coordinator
• Download transcripts electronically and post to Admissions Systems.
• Receive transcripts by mail and post to Admissions Systems.
• Scan and verify transcripts through imaging system
• Notify Admission Counselors of transcripts received
• Determine if transcripts are complete and official
• Notify students if there are issues with transcripts received
Support Admissions & Recruitment Front Desk & Office Operations
• Provide assistance with incoming questions concerning but not limited to:
o Admission Requirements
o Status of Applications
o Academic Programs
o Admission Policies
o Documentation Required for Admission
• Transfer phone calls to appropriate individuals when needed
• Check main office email, answering questions and forwarding questions, as needed.
• Forward transcripts and admission documentation to Admissions Operations Coordinator
• Maintain office supplies, ordering supplies when needed
• Manage purchases and receiving reports through LSU Procurement System
• Support staff with paperwork needed for purchasing, travel, and reimbursement
• Maintain recruiting material, notifying the Director of Recruiting when supply is low and order should be made
• Identifying and troubleshooting issues such as complete applications with no admission decision, staff student meeting calendar conflicts, and coverage of front office
• Maintain office equipment such as copiers, printers, computers, folding machine - notifying proper personnel if repairs are needed
• Print and mail yield, application, and recruitment correspondence to admits, applicants, student inquiries, and professional inquires
• Serve as the Department's Asset Custodian for state purchased large items
Manage student workers for Enrollment Management
• Identify and interview potential student workers
• Collect paperwork and verify student is eligible to work in office
• Maintain student worker budget and approval of student worker timesheets, keeping the AVC of Enrollment Management up to date with student worker budget balances or time sheet issues
• Determine continued eligibility each semester
• Make and maintain schedules for student workers each semester, ensuring proper coverage in office
• Train student workers on all appropriate Admissions systems including but not limited to:
o Anthology Reach
o Powerca m pus
o Docubase
o National Student Loan Clearinghouse
o Office policies and procedures
o FERPA
Support Campus Tours
• Assist with the scheduling students for campus visit events.
• Coordinate group campus tours with the Director of Admissions & Recruitment
• Support campus tour training for LSUA Ambassadors
• Manage electronic Welcome Sign
Support Department Needs
• Assist on special projects as needed by the Associate Vice Chancellor of Enrollment
• Support purchasing needs of the departments within the Enrollment Management Division
• Assist with Recruitment Events as needed per the Department. Events my occur both during the work week or occasional weekend
• All other duties as assigned by the Associate Vice Chancellor of Enrollment
Minimum Qualifications:
• Office management experience.
• Demonstrated ability to communicate clearly verbally and in writing.
• Ability to independently analyze data and make decisions.
• Ability to multi-task, while remaining organized.
• Demonstrated ability to work with a team to achieve goals.
• Clear driving record with a Louisiana's driver's license.
