JOB DESCRIPTION – Continuing Education and Community Outreach Project Coordinator
Department: Continuing Education and Community Outreach (CECO)
Position Title: Continuing Education and Community Outreach Project Coordinator
Supervisor: Director of Continuing Education and Community Outreach
Purpose: Support the Director in all functions of the Department of Continuing Education and Community Outreach, which extends the services of the University to the community by providing quality non-credit programming, managing conferences and training for business and industry, and coordinating travel courses offered to students and the community.
Responsibilities:
Support the Director in all duties in the CECO Department Make, answer and direct phone calls Return phone calls and emails within 24 hours on business days. If on annual leave, then prior arrangements will be made Organize and schedule appointments If part of meetings, take detailed minutes at minutes, type them and email all in attendance at the meeting Write and distribute emails, correspondence memos, letters, faxes and forms Assist in the preparation of regularly scheduled reports Develop and maintain a filing system Provide reports on duties in the CECO department when requested and in a timely manner Update and maintain office policies and procedures Order office supplies, organize and inventory them and research new deals and suppliers Maintain contact lists of students and companies whom CECO is working with Provide access to CECO Coordinator calendar to CECO Director Send invoices Send payment to appropriate parties and maintain upkeep of records in Workday Mail items from CECO Department Order books for classes Supervise any student workers in the CECO Department Book travel arrangements Submit and reconcile expense reports Workday procurement and requisitions Arrange memos regarding payment to instructors and make arrangements with the Payroll Department Provide general support to visitors Other duties as assigned
Qualifications:
Bachelor’s degree in business, communication, marketing or related field required and a minimum of one year of marketing and/or business experience preferred Attention to detail Professionalism Proficient in MS Office
