Job SummaryThe Administrative Coordinator is responsible to support the logistic Team.Responsibilities/Description:1.    Checking monthly vessels schedule.2.    Arrange for booking confirmation according to production date and follow up till receive it.3.    Send COH to NFSA.4.    Follow up receiving the COH with customs broker.5.    Revise the COH with invoice once issued.6.    Arrange the loading date with FFW and customs broker.7.    Send loading plan sheet to WH team8.    Sending the COO draft to customs broker and follow up till receive it the next loading date.9.    Arrange the legalization process from chamber of commerce or embassies with broker and issue all required documents.10.    Arrange all COC process from sending samples to external labs till receiving the results and the inspection in same loading date.11.    Follow up till receive the BL draft from FFW and revise it.12.    Follow up the vessel departure date to issue the telex release or OBL.13.    Printing COAs for customer14.    Send the original documents hard copy and scan copy to the customers15.    Send spot rate request for each air shipment and compare between the best offers.16.    Arrange the loading date based on the production date and suitable flights.17.    Prepared all required documents for air shipments and send them with driver same loading date.18.    Follow up till receive the pre alert from the FFW.19.    Prepare the export invoices along with BL copies to finance team.20.    Prepare tracking sheet for all export shipments.21.    Prepare monthly cost saving sheet.22.    Arrange, revise, and send all documents related to LC shipments to bank.23 . revise and handed supplier invoice to finance. 24 . follow up form 13 with brokers • Proactively liaise with cross functional groups (Customer service, supply chain/warehouses/quality/planners/freight forwarders…) to ensure orders ship in a timely manner to meet the customer’s promised delivery date• Manage any customer logistics requirements (via Customer Service, other internal departments…) and follow up with required action for response to resolve issues providing excellent service level to customers (internal and external)• Facilitate rush orders preparation outside standard pick/pack time with different departmentsRequirements:Bachelor degree1+ year experience in SAP environmentKnowledge of international Trade regulations and transport (types, carriers, rules, incoterms).Fluent business English communication skillsHighly collaborative and team player• Action orientedTraining / Certifications:• SAP basic training on functional areas of expertise We are a global leader in taste, scent, and nutrition, offering our customers a broader range of natural solutions and accelerating our growth strategy.
