Background
Under the guidance and direct supervision of the Resident Representative, the ICT Assistant provides ICT and administrative support services to the operations and development projects teams as well as provides daily technical support to users of information management tools and technology infrastructure. The ICT Assistant promotes a client-oriented service approach.
The ICT Assistant works in close collaboration with the Front Office, Senior Management, Programme and Operations teams in the Country Office and UNDP HQ staff for resolving complex ICT-related issues. He/She provides support to other UN agencies as and when needed.
Duties and Responsibilities
Summary of key functions:
- Implementation of ICT management systems and strategies
- Ensure effective functioning of the CO hardware and software packages
- Providing trouble shooting support
- Support to networks administration
- Provision ofadministrative support
- Facilitation of knowledge building and knowledge sharing
- Support UN House management and ICT services.
- Ensure effective functioning of the CO hardware, software packages and networks, focusing on the achievement of the following results:
- Perform a specific technical function, including changing of hardware electronic components (disks, memories, network wiring, power sources, etc.) and routine repairs.
- Assist in the installation of commercial and in-house developed software and related upgrades
- Assist in upgrading patch and anti-virus programs on a timely basis.
- Support users in backing up and restoring their files, as well as in virus detection, removal and prevention.
- Assist in troubleshooting and monitoring of network problems, Access points, Routers, PABX and other networking equipment.
- Respond to user needs and questions regarding network access.
- Assist users in Microsoft Office applications (Word, Excel, PowerPoint and Outlook).
- Work with Microsoft SharePoint applications to share information within Country Offices; Assistance in backup and restoration procedures for local drives. Maintenance of backup logs. Assistance with the organization of off-site storage of backups.
2. Supports implementation of ICT management systems and strategies, focusing on the achievement of the following results:
- Ensure compliance with corporate information management and technology standards, guidelines and procedures for the CO technology environment.
- Support the functioning of UNDP’s implementation of ERP (Quantum) and improved business results and client services.
- Conduct research, analyzes and evaluates new technologies (hardware and software) and makes recommendations for their deployment.
- Participate in office automation projects, review and recommend business improvement processes.
3. Ensures facilitation of knowledge building and knowledge sharing in the CO, maintaining the web site focusing on achievement of the following results:
- Photograph various events so that to be included for the country office web site.
- Maintain website functionality and upload relevant content,
- Assist in preparing presentations,
- Maintain UNDP Bahrain social media accounts
- Participation and assistance in the organization of training for the CO staff on ICT issues.
- Sound contributions to knowledge networks and communities of practice.
4. Provides administrative support, focusing on the achievement of the following results:
- Support the functionality of the phone and fax systems and copy machines and printers
- Manage the office mobile subscription
- Maintain an up-to-date inventory of software and hardware and stock of supplies and spare parts in cooperation with the Procurement Unit.
- Maintain the filing system ensuring safekeeping of confidential materials.
- Extraction of data from various sources.
- Support to procurement staff in clearing IT equipment’s from Bahrain Customs.
- Provision of ICT support for workshops and events
5. Provides services to the entities in the UN House:
5.1. Basic ICT Support:
a. Set up laptops, printers, monitors and network; Support with IP Telephony system; Software installations & configurations.
b. Assisting with MS office applications, Teams, OneDrive and SharePoint folders; Assisting in facilitating meeting presentations, online tele-conferencing in the meeting room and outside events.
c. Coordinating with local agents to provide warranty and breakdown support; Provide consultation support purchasing ICT equipment.
5.2. Assisting with UN House security needs in liaison with UNDSS with the following tasks:
a. UN ID Cards printing and registering in the access control system; Coordinate with the security equipment supplier to attend and fix issues related to the CCTV, Access Control System, and gate traffic barrier; CCTV system on extracting video recordings whenever required; Support with X-Ray machine related maintenance and breakdown issues.
5.3. Coordinating with the Ministry of Works on the maintenance related works in UN House building.
a. A/C unite and related system; Fire alarm; Water plumbing
b. Electricity components; Security bollards, Power Generator; Other civil/electrical works;
c. Follow up on the status of the second building renovation plan.
Required Skills and Experience:
Education:
- Secondary Education is required.
- A university degree in Information Technology, Information Management, Telecommunications, Computer Science, or an equivalent field will be given due consideration, but it is not a requirement
- Certifications in ITIL/hardware/software management/application and/or MCP are an asset.
Experience:
- Minimum of 5 years (with high school diploma) or 2 years (with bachelor’s degree) of relevant working experience in network administration, web design, providing technical support for hardware/software or cloud ERP environments, working with telecommunications facilities; and applying knowledge of database applications, web-based management systems, and cloud infrastructure solutions.
Required Skills and Competencies:
- Experience in providing basic IT support services.
- Proven track record of good knowledge of PC/LAN operating systems, Microsoft Windows, Microsoft Office, corporate ICT security and viral protection systems, ERP;
- Experience in client support, such as a Help Desk or User Support Unit.
Desired Additional Skills and Competencies:
- Excellent knowledge in SharePoint administration is desirable
- Experience working with user-centred designs and conducting user research and testing is desirable
- Demonstrated ability to provide input to business processes re-engineering, elaboration and implementation of new systems.
Required Language(s) (at working level):
- Fluency in English and Arabic is required.
