The Position

As Office Manager, you will provide administrative support to the Country Manager in terms of corporate event management and administrative support. You will also play an instrumental role in leading company culture initiatives along the year.


Office Management:


  • Confidential administrative management GM/CM related activities/documents 


  • Lead Grants and Donation process as per affiliate SOP. 


  • Support statutory activities in partnership with external lawyer (AGE, AGO, BoD, Delegation of duties…) 


  • Lead the planning, scheduling, and execution of various and complex events, such as inaugurations, town halls, Enabling Team meetings, and other engagement or business events.


  • Create and manage budgets for events, track expenses, and ensure cost-effectiveness.


  • Develop and maintain strong working relationships with internal departments and external partners.


  • Coordinate Roche Algeria Gsite maintenance and update


Administrative Support:


  • Manage calendars, workshops, and events for the organization for GM led activities and corporate initiatives.


  • Handle financial support tasks, such as processing purchase orders (POs), invoices, and statements of work.


  • Plan and schedule diverse types of meetings (e.g., events, offsites, interviews, stakeholder meetups) across multiple time zones for internal and external stakeholders, ensuring high confidentiality.


  • Administrative support to communication activities in partnership with the Communication and Policy Lead as well as Government affairs Lead (implementation logistic and admin support activities)


  • Coordinate with the agency on social media strategy execution


Operational Efficiency:


  • Schedule appointments, manage travel itineraries, and coordinate related arrangements for GM/CM and senior invitees.


  • Prepare and manage expense reports through to settlement.


  • Prepare and analyze complex trends, reports, and presentations using data from various sources.


  • Assist in preparing budget and project reports as required.


  • Research, collect, compile, and analyze diverse data and information requests.


  • Identify bottlenecks in administrative processes and suggest improvements to enhance efficiency.

Qualifications: 


  • Minimum 3 years of experience in office administration, event management, supplier coordination, and high-level stakeholder management.


  • Good communication and writing skills.  


  • Good listening and negotiation skills 


  • Strong master of software applications (excel, word and PowerPoint)


  • Proficiency in French and English.
