We’re seeking a highly organised and data-driven Traffic Manager/ Operations Manager to oversee resource allocation and manage our client projects pipeline, ensuring client needs are met efficiently and effectively. This role is open to part-time candidates (timings mentioned below).
In this role, you’ll utilise ClickUp (our project management tool) to handle task coordination while contributing to the creation of project quotes and drafting client contracts. Your efforts will help ensure that projects are accurately scoped, properly staffed, and delivered on time.
Responsibilities:
- Quotes & contract management: create detailed project quotes and draft client contracts in collaboration with HOD’s, ensuring accurate cost estimates, resource requirements, and timelines are in place.
- Workforce planning & resource allocation: develop and maintain workforce plans that align with client project demands and manage capacity for optimal resource allocation.
- Project management: use ClickUp to track, and manage projects, ensuring that teams clearly understand project requirements, deadlines, and priorities.
- Project pipeline management: partner with HOD’s to oversee the project pipeline (based on new business, renewals), forecast resource needs, and manage project schedules to meet both short- and long-term client demands.
- Capacity monitoring: continuously monitor team capacity and workload distribution to ensure effective staffing, adjusting resource allocation as needed for efficient delivery.
- Process optimisation: identify and implement improvements in resource allocation to reduce bottlenecks, and support seamless project execution.
- Stakeholder collaboration: collaborate with managing directors, department heads, people & culture or to understand upcoming needs, communicate resource availability, and ensure alignment on deadlines.
- Data & analytics: analyse data from ClickUp and other systems to provide insights into resource utilisation, project timelines, and staff efficiency, supporting strategic workforce planning decisions.
- Training & development: assist in identifying skill gaps and work with management to address training needs, ensuring teams are equipped to meet evolving client and client requirements.
Skills & Experience:
- Experience: 5+ years in project management or operations management ideally in a communications, marketing, or creative agency.
- Project quoting & contract knowledge: experience in creating project quotes and familiarity with RFP, briefs, ensuring clarity in project scope, cost estimates, and timelines.
- Project management software: proficient in ClickUp or similar project management tools, with a strong understanding of project tracking, capacity planning, and reporting.
- Communication skills: excellent verbal and written communication skills, with the ability to work cross-functionally and engage with both internal and client stakeholders.
- Analytical ability: strong analytical skills, with the ability to interpret data and provide actionable insights to optimise resource planning and operational efficiency.
- Problem-solving: a proactive approach to identifying and resolving resource allocation challenges and workflow bottlenecks.
- Organisational skills: highly organised, with exceptional attention to detail and the ability to manage multiple projects and priorities in a fast-paced environment.
- Team-oriented: a collaborative mindset with a focus on supporting team success and fostering a positive work environment.
- Prioritising competing deadlines: juggle a wide variety of cross functional requests with competing deadlines and understanding of project timelines.
- MS tools: advanced understanding of Microsoft Excel will be an added advantage.
