JOB PURPOSE:


Oversee the provision of prompt, efficient and professional logistical support of all Office Services for HQ and Site in the specified areas, to the satisfaction of all end-users and stakeholders in line with Company Policies and objectives.


As a designated shared services provider for Al Dhafra Petroleum and Al Yasat Petroleum, all accountabilities, roles and responsibilities of the position shall be applicable to both companies.


KEY ACCOUNTABILITIES:


JOB SPECIFIC ACCOUNTABILITIES


  • Ensure adequate inventory levels are in place for office supplies in specified areas and supervise the efficient management of the facility applying pro-active methods, to ensure easy storage and retrieval and distribution methodologies in line with Company’s standards.
  • Supervise the vendors/suppliers’ delivery and installation of all required office equipment and furniture as per approved standards, to ensure smooth functioning of the section in a cost-effective and timely manner.
  • Oversee the provision of efficient office services like catering, janitorial and housekeeping, reception, office security, car parking facilities and office decoration, to ensure a high standard of quality, hygiene and cleanliness maintained.
  • Review and determine the requirements for office space from various departments, to prepare plans for allocation/modification of space and layout and obtain approval from Management.
  • Oversee the implementation of all Service contracts for Office Services and participate with Procurement to facilitate the Tendring and re-tendering, and update of these contracts.
  • Implement an effective control mechanism to all Business Units for Office Services, based on the daily and periodic requirements in a timely and a professional manner in line with Company’s standards.
  • Conduct and/or supervise periodic inspections on HQ and other company facilities, to ensure that the facilities maintained, and support services provided to the satisfaction of all end-users and stakeholders.

GENERIC ACCOUNTABILITIES


Management


  • supervise the activities of the personnel and resources to achieve the Department objectives in an efficient and cost-conscious manner while ensuring implementation of approved operational plans for the Department objectives.
  • Develop the knowledge, competencies and innovative spirit in the and support the establishment of Personal Development Plans (PDP’s), Succession Planning and Talent pipeline in coordination with the Human Capability Group to continuously develop employees with emphasis on UAE Nationals to meet Emiratization targets.

Budgets and Operational Plans


  • Compile and provide input for preparation of the Department budgets and regularly monitor expenditure against approved the budget levels.
  • Investigate and highlight any significant variances to ensure effective performance and cost control.

QUALIFICATIONS, EXPERIENCE, KNOWLEDGE & SKILLS:


Minimum Qualification


  • Bachelor’s degree in Business Management or equivalent Professional Qualification

Minimum Experience & Knowledge & Skills


  • 12 - 15 years of experience, in Internal Office Service Management in a large oil/gas sector environment, with at least 4 years in a similar management role
